Position Summary
Under the direction of the Director of Children and Families, the Executive Assistant will support a wide range of comprehensive administrative functions by providing and implementing the following key activities.
Key Responsibilities
- Maintain the Director of Children and Families calendar by coordinating and managing scheduled meetings and providing the required administrative and logístical support.
- Attend meetings with the Director of Children and Families as assigned, keep an accurate record of discussions, identify action items, and ensure proper followup.
- Work with the Executive Coordinator and Senior Policy Analyst to gather information for scheduled meetings including an executive summary, background information, and documents as required.
- Coordinate meetings and prepare meeting packages, including but not limited to agendas, briefings, and reports, as well as, ensure proper recording is in place for meetings (if applicable) and draft comprehensive meeting minutes for review and approval.
- Prioritize conflicting needs by handling matters proactively and effectively following up, often with deadline pressures.
- Develop and maintain an effective physical and electronic filing system.
- Coordinate all travel arrangements for the Director of Children and Families.
- Represent the First Nations Family Advocate Office at meetings and functions, as assigned.
- Liaise and work closely with the management team as directed by the Director of Children and Families.
- Other duties as assigned.
Qualifications
- A certificate in Administrative Support from a recognized College or a combination of four years related experience and education.
- Excellent verbal skills and written skills.
- Excellent time management skills.
- Knowledge of management, organizational and planning principles.
- Knowledge of a variety of automated computer systems and office procedures/practices.
- Knowledge of the writing composition and techniques, editing and proofreading.
- Analytical skills and knowledge of formative record keeping.
- Able to work flexible hours and travel upon request.
- Must have a valid Class 5 driver's license and a reliable vehicle.
- Must have a current satisfactory Criminal Record Check, and Clear Child Abuse Checks.
