Job Overview:

The Project Coordinator plays a pivotal role in facilitating the smooth execution of projects within our organization. They are responsible for assisting Project Managers with complex projects while independently managing non-complex school and Institution projects. This includes coordinating delivery and installation logistics, maintaining communication with clients, ensuring accurate documentation, and resolving customer service issues. The Project Coordinator ensures that projects progress efficiently from sales order to completion, meeting all client expectations and deadlines.


Key Responsibilities:


Daily Responsibilities:


  • Efficiently manage calendars and tasks, ensuring timely completion of assignments.
  • Facilitate team huddles and maintain open communication channels with the Operations Manager for metric reporting.
  • Liaise between sales and operations, ensuring seamless handover of project details.
  • Provide regular updates to clients from sales order initiation to project completion.
  • Ensure proper filing and processing of Proof of Deliveries (PODs) and Deficiencies (Defs).
  • Coordinate with installers and prepare necessary paperwork for project installations.
  • Schedule delivery dates with clients and track installer hours against orders.

Weekly Responsibilities:


  • Update metrics prior to weekly department meetings.
  • Coordinate initial site visits and project starts, ensuring clear communication between all stakeholders.
  • Conduct deficiency walkthroughs and provide clients with clear timelines for resolution.
  • Maintain and update project schedules as required.
  • Obtain delivery and installation quotes from subcontractors and place installer purchase orders.
  • Upload plans, complete delivery paperwork, and close out projects in the system.
  • Verify order acknowledgements and design against original orders for accuracy.
  • Resolve customer service issues by submitting and tracking Customer Service Requests (CSRs).
  • Track product shipments and arrivals, arranging delivery for noncomplex small projects.

Monthly Responsibilities:


  • Review Khameleon reports and update Backlog by Promise Date report.
  • Monitor accrued liability and address any outstanding invoices without purchase orders.

Qualifications:


  • Bachelor's degree in Business Administration, Project Management, or related field preferred.
  • Have at least 1 year of previous experience in project coordination or related administrative roles.
  • Proficiency in Microsoft Office Suite and project management software.
  • Excellent communication and interpersonal skills.
  • Strong organizational and timemanagement abilities.
  • Attention to detail and ability to multitask effectively.
  • Knowledge of furniture installation processes and procedures preferred.
