What You'll Do
As the Business Operations Support Administrator, you will provide high level of administrative support to all areas of the business including clerical, filing, distributing electronic faxes, mail, answering incoming telephone calls, arranging courier shipments, scanning documents and 5S organization of your area and common areas.
Other duties will include:
- Manage Time Entry for payroll cycles for the employees on site.
- Manage the coordination and communication of the ANSOL rail schedule with the local railroad (ONR) for the site railcar switches.
- Monitor the documentation completion for stock products and raw materials coming in / out the North Bay manufacturing site.
- PGI stock transfers.
- Good Receipt (GR's) for WEMA / CAMO and others.
- Responsible for the cycle counts on site (raw materials, bulk finished products, IS&P)
- Ongoing analysis and looking for ways to reduce the slow moving and obsolete products (SLOB) on site.
- Arrange the logistics for CAMO trucking and GI the related purchase orders.
- Coordinate the trucking for tankers with third party vendors and monitor their availability to accommodate the delivery schedule (emulsion/ANSOL) and maintain the daily shipping schedule
- Work with the site manager to plan the production schedule for the North Bay plant and establishing the prioritization of our customers' requirements.
- Work with the Supply Chain team to order the raw materials required to avoid any interruptions to the production schedule.
- Ensure all paperwork is prepared on time for the US border crossing of materials or rework product.
- Manage Service disruptions, late deliveries, and quality issues with the customer by managing customer expectations, communicated "bad news early" and ensure correct information flow is occurring internally & externally.
- Process any Accounts Payable workflow items assigned to you.
- Create/Modify purchase requests and/or purchase orders to suppliers in compliance with DNA internal policies.
- Process all freight invoices.
- Participate in different adhoc projects as requested by the site manager, including cross functional projects and review for site specific SOPS.
- Learn the operation of the site as a distribution hub, and the manufacturing process.
- Maintain fluid communication with the manufacturing and site staff.
- Improve current internal processes to increase customer satisfaction and streamline process, as well as reporting on status. Develop a set of KPI to track site performance.
- Maintain Open/Past due Order reporting
- Actively participate in daily standup meetings forward communication (to business and internal customers) any issues as they arise.
- Work with AP to resolve issues with Payments acting as signal vendor focal point.
- Maintain and update standard operating procedures / processes / policies.
What We're Looking For:
- Professional diploma or equivalent experience preferred.
- SAP capability an asset, computer literacy in Microsoft Office Products, including Excel, Word, and Power Point.
- 2 years of experience as an administrative support in an intermediate level environment for a mid to large size organization.
- Self starter and the ability to work indepedently frequently.
- Ability to adapt to change and handle a variety of tasks.
- Positive attitude, friendly demeanor, and a team player
