The Office Manager will play an important role for Lithium Americas.
This role will assist the team with organizational and administrative tasks, and be an integral part of the Vancouver based team.
The Office Manager will support tasks such as managing incoming expenses, planning company events, and drafting letters or presentations. This position is based in our Vancouver office and will report to the SVP Finance and Administration.Responsibilities
- Organize and schedule meetings and events including but not limited to, obtaining locations, setup, catering, and incorporating Teams for virtual meetings/events.
- Coordinate and send meeting invitations and agendas to attendees, book meeting rooms and arrange for IT resources in support of efficient meeting facilitation.
- Coordinate multileg travel that often requires continuous changes and rescheduling.
- Handle daytoday Vancouver operations through assisting the HR Department with onboarding and offboarding, coordinate local facility operations, including space planning and office moves.
- Reconcile credit card and expense reports.
- Accurately maintain an organized record management system in the SharePoint Drive.
- Assist with media/conference coordination.
- Review public relations, legal or financial documentation.
- General office upkeeping, including maintaining office and kitchen supplies.
- Act as primary contact with landlord for office services.
- Handle all inquiries received on office main phone number and fax, representing company in a professional manner to shareholders, vendors and other stakeholders who contact the office.
- Handle incoming and outgoing mail and couriers.
- Provide back up assistance to Investor Relations Assistant and Executive Assistant.
- Coordinate charitable donations.
- Act as primary safety officer for Vancouver office.
- Liaising with staff across all business units.
- Other duties as assigned.
Requirements:
- Minimum of five (5) years of relevant work experience in administrative, logistics or human resources.
- Experience in energy, mining, or technology industries.
- Extremely proficient with Microsoft productivity software, including Word, Outlook, PowerPoint, Excel, SharePoint, and Teams.
- Outstanding communication and organizational skills with the ability to motivate team members.
- Quick and accurate with numbers.
- Impeccable attention to detail when preparing deliverables from excel spreadsheets, formal letters to event luncheons.
- Ability to multitask and run several projects in parallel, while prioritizing and pursuing critical path tasks on an accelerating schedule.
- Comfortable with constantly evolving needs of the team.
- Self starters; highly motivated, able to work independently with high energy.
- Ability to prioritize work and complete projects on time, demonstrate drive and initiative.
- Excellent written and verbal communication skills.

- Compensation: CAD$68,00078,000 a year + annual bonus
