Aquilini Group is a diversified family business founded in Vancouver, BC more than 50 years ago with roots in the real estate development and construction industry.

Today the company owns and operates an international real estate portfolio that includes commercial and residential properties, hotels, golf courses, vineyards and blueberry/cranberry farms.

In addition to its ongoing pursuits in real estate development and construction, AG has expanded its holdings to include assets in the sports & entertainment, renewable energy, aquaculture, tourist attraction, restaurant, and beverage industry.


SUMMARY:


The Executive Assistant will serve as the trusted and indispensable right-hand support to an owner of the Aquilini Group and her family that is employed by the company.

With a keen eye for detail and the ability to anticipate needs, the incumbent will plan, organize, and coordinate a diverse range of requests and ensure their smooth and efficient execution.


ESSENTIAL DUTIES AND RESPONSIBILITIES:

(other duties may be assigned, as required)

  • Coordinating and executing requests from the owner
  • Monitoring and managing timesensitive and confidential communication
  • Managing the calendar (booking meetings, making reservations, scheduling appointments, etc.)
  • Reconciling accounts and managing expenses
  • Arranging complex travel plans and adjusting as necessary
  • Organizing executive suite requirements for events at Rogers Arena
  • Handling errands (e.g., deliveries, IT repairs, purchasing gifts, etc.)
  • Assisting with planning and executing key projects and events
  • Responding to unexpected afterhours issues
  • Maintaining relationships with internal team and external stakeholders
  • Acting as a liaison between the owner and division leaders
  • Prioritizing tasks based on risk, importance, urgency, and organizational impact
  • Monitoring for issues related to quality, confidentiality, and risk and reporting as needed

REQUIRED EXPERIENCE AND QUALIFICATIONS:


  • Minimum 35 years of directly related work experience
  • Highly organized, meticulous and detailoriented with the ability to prioritize assigned duties and deliver quality work
  • Ability to remain calm during stressful periods while focusing on tasks
  • Confidentiality, discretion, loyalty, and a "can do" mindset
  • Professional communication skills and telephone etiquette
  • Ability to work independently and outside of normal business hours when required
  • Ability to effectively communicate with individuals having diverse personalities and unique requirements
  • A positive demeanor and ability to interact professionally with all levels of staff, guests, clients and VIPs
  • Strong computer literacy with MS Office experience
  • Comfortable with everchanging priorities and excels in team environments
  • Valid driver's license and vehicle required
