Purpose:


Working within a fast paced, changing environment the Executive Assistant will provide efficient, professional, and confidential support to the Executive Director, Community Safety.

Duties are broad and varied.

Daily activities involve interaction with all students, faculty, staff and high-level internal and external contacts and exposure to confidential and sensitive information requiring considerable use of initiative, tact, diplomacy, discretion, and excellent judgement.

The Executive Assistant assesses the importance and urgency of issues or problems that arise, addresses issues, or alerts the relevant leadership of potential problems or conflicts.

The Executive Assistant maintains a commitment to supporting sustainability, equity, diversity, and inclusion at York University.

The Executive Assistant will play a key role in planning and disseminating departmental news through various channels including web page, newsletters.

As required the Executive Assistant plays a supportive role in planning and managing initiatives and activities sponsored by the Community Safety Department and the Office of the Vice-President Finance and Administration.


Education:

Post-Secondary diploma.


Experience:

2 years related experience.
Experience providing a full range of executive support to a senior leader or administrator in a complex institutional environment.

Experience in fostering Equity, Diversity, and Inclusion (EDI) initiatives within a work setting, ensuring a safe and inclusive environment for all staff and community members.


Skills:

Knowledge
Knowledge of event planning.
Knowledge of general office procedures and practices.
Knowledge of University protocols and governance.


Skills:

Effective communications and interpersonal skills.
Ability to produce clear and concise documentation and reports.
Ability to exercise sound discretion, judgment, tact, diplomacy, creativity, and initiative.
Effective organizational, planning and project management skills.
Ability to work independently, as well as in a team environment.
Ability to effectively meet numerous competing demands.
Ability to meet short/long term deadlines.
Ability to maintain confidentiality.
Proficient with Microsoft Applications including Word, Excel, Access, PowerPoint, Outlook, and Visio.

Compensation:


York's CPM Compensation Framework has a salary grid consisting of 6 or 8 steps (depending on job grade) which is reviewed annually with possible adjustments, and a lump sum Performance Based Recognition Award.

Employees will receive the grid adjustment and depending on performance, eligible permanent employees may move to the next step of the grid and may receive a lump sum Performance Based Recognition Award.
