ASSOCIATE REGISTRAR, ENROLMENT

ENROLMENT AND COMMUNICATIONS


Reporting to the Registrar, the Associate Registrar acts as a key change agent within the Office of the Registrar and throughout the college, supporting staff to identify and implement changes in process and communications, making changes to the staff complement and/or roles and responsibilities to support process improvements, and informs staff about changes that are to be implemented and preparing them in the execution of those changes.


The role is the key liaison, negotiator, and collaborator with internal clients, most frequently program chairs and associate chairs, managers and business operations supervisors, in the creation and adaption of processes to accommodate specific student populations or situations including articulating business needs, developing processes, and establishing roles and responsibilities of each unit involved in the activity.


HOW YOU'LL MAKE A DIFFERENCE

  • Provide leadership to:
  • The Enrolment team who provide support in student program and course registrations,
  • The Records team who maintain official records and produce the College's transcript and credentials, and
  • The Graduation Administration team who verify program completion.
  • Supervise, evaluate, performance management, document, and recommend development opportunities for staff. Responsible for team cohesiveness and resolution of complex human resources issues.
  • Communicate goals, expectations and standards set by the Registrar.
  • Identify competencies for staff to achieve optimal operational effectiveness. Guide and direct the development of staff using appropriate coaching, training, and implementation strategies.
  • Oversee the creation of service standards for processes and staff.
  • Ensure that staff are using PeopleSoft Student appropriately; identify opportunities and implement actions to maximize the use of PeopleSoft for operational effectiveness.
  • Anticipate and request report development according to the needs of the unit and to support process improvement, marketing, or other college planning activities.
  • Adjudicate decisions on students who submit appeals and manage students' complaints when escalated to management level.
  • Establishes standards for the collection and maintenance of accurate information and measures the performance of the dissemination of this information within the standards of FOIP, the college calendar and other relevant information sources.
  • Lead process improvement initiatives that impact Office of the Registrar functions relating to enrolment or student records.
  • Develop models, structures, or frameworks to support the Office of the Registrar functions.
  • Anticipate, identify, and plan for process changes and their impact on the college and program planning.
  • Participate in the development and renewal of policies and procedures.
  • Review contracts to determine variations to usual processes and their impacts and implications for the operational teams.
  • Continually identify and implement opportunities for improvement to workflow, customer service, and data processing to maintain service levels.

WHAT YOU BRING

  • Undergraduate degree in a related field, Master's preferred.
  • 3+ years' experience in a managerial and supervisory role, preferably in a postsecondary environment.
  • Experience working in a registrarial function is an asset.
  • A combination of education and experience will be considered.
  • Understanding of FOIP, records management, and processing improvement strategies is an asset.

SALARY:
$85,808 - $107,290 reflective upon what you bring AKA your education and experience. This is a full-time permanent position with immediate access to our great pension and benefit programs.
