Description

Under the immediate Supervisor's direction, the Administrative Assistant completes day-to-day filing and general clerical activities required by the Branch or the National Service Centre.

DUTIES AND RESPONSIBILITIES:


  • Completes filing as required.
  • Provides general clerical support as required.
  • Acts as the back up to reception/switchboard:
  • Greets and welcomes visitors, clients, couriers and employees and directs them to the appropriate department.
  • Answers incoming calls pleasantly and professionally direct requested extensions ensuring all needs are routed to the appropriate individual by probing for details tactfully and quickly.
  • Coordinates meeting room booking with the equipment requirements and any catering requests, ensuring correct amounts of food for the number of people attending the meeting.
  • Assists with basic shipping and courier procedures as needed.
  • Promotes and maintains the utmost integrity, confidentiality, and highest customer service calibre.
  • Additional or different responsibilities or duties, which are consistent with the position summary, may be assigned at the immediate Supervisor's discretion.
  • Participate in ongoing internal and/or external continuing education activities.
  • Adhere to Bayshore Policies and Procedures.
  • Participate in quality activities and continuous improvement initiatives in keeping with the company's Quality Management System.
  • Participates in proactive Health & Safety activities while performing all duties. Is responsible for notifying immediate Supervisor of any Health & Safety risks or concerns.
  • Maintain confidentiality of client and corporate information and discuss the same with appropriate Bayshore personnel.
  • Complete other tasks as requested.
Job Qualification


Education:

Minimum - Secondary School Diploma; completion of an Administrative Assistant training program is preferred.


Experience:
A minimum of two years previous experience as an Administrative Assistant.
