Job Summary:

You are an experienced Office and Document Control Coordinator of 3+ years, with an expertise in heavy civil projects.

You will directly report into the Project Manager, and you will be responsible for the control, organization, updating, distribution and maintenance of all documents in accordance with company policies and statutory regulations.

Essential Responsibilities

  • Create document control guidelines and responsibilities and ensure these are executed and followed appropriately
  • Implement a document management system in line with the needs of the organization including but not limited to project initiation for various projects within the organization
  • Define and implement the tools, systems, policies, and procedures necessary to effectively manage document control requirements
  • Act as the main point of contact for document control with internal and external stakeholders
  • Establish document management best practices and opportunities for continuous improvement
  • Develop and implement work processes and procedures such as Operations and Maintenance Document Review Control, Design/Engineering Document Review Control, Correspondence Control, Contract or Vendors Data Management, Standards Management, Project Standards and Document Numbering
  • Design and implement detailed work instructions to support the approved procedures
  • Ensure all document management equipment (hardware, software, etc.) is effectively maintained
  • Provide administrative support to various departments as needed, such as assisting with client meetings, creating presentations and packages.
  • Administers office and safety supplies, stationary
  • Manages and maintains department budget and headcount
  • Assist with the creation and submission of project billing
  • Performs administrative duties for job sites ensuring all documentation regarding timesheets, equipment usage and all personnel related allowances are transferred to Accounting daily or weekly as required
  • If required, set up hard copy filling system with wet signature hard copy filing
  • Champion the development of improved document workflows to reduce timelines
  • Maintains an organized filing system on site

Qualifications

  • 3+ years of experience in progressively responsible records retention and document control roles
  • Completion of post secondary education in Construction, Civil Engineering or related discipline
  • Aboveaverage attention to detail, with the ability to produce an accurate finished product
  • Ability to juggle multiple priorities, anticipate and deliver to tight deadlines, and manage high volumes of work
  • Demonstrate an exceptional computer background including experience with MS Word and Excel and scheduling software
  • Able to read, understand, and interpret engineering documents
  • Exceptional communication skills, confident interacting with key contacts in verbal, written and electronic form
  • Capable of responding to project stakeholder requests in typical situations and understands client needs and works to meet those needs by offering assistance and advice on standard practical issues
  • Ability to identify problems/issues and generates solutions and makes sound decisions using standard procedures
