What will you work on?
We are seeking an energetic Executive Assistant to support our Chief People Officer (CPO). The office of the CPO is accountable for all human resources activities, corporate communications, and corporate citizenship.

This is an opportunity for a seasoned Executive Assistant to fully own day to day operations and administration for a dynamic executive office.

This is a challenging and rewarding position for someone who thrives under the pressure of multiple priorities, has the agility to adapt and maintain organization with frequent changes, and can execute flawlessly with an entrepreneurial mindset


How will you create impact?

Comprehensive support
  • You offer support in executive communications, expense reports, invoice processing, approvals, event management, meeting management, and all other tasks while maintaining strict confidentiality.

Logistics management - you will coordinate all meetings, both internal and external, ensuring that every detail is flawlessly executed; you will prepare agendas and meeting materials, take minutes as needed, distribute and follow up on action items if required

Proxy for the executive - you will learn the nuances, style and manner of the executive and accurately represent the office at all times; you will master the executive's tone and style and collaborate with the executive and the communications team as needed.

Travel - manage comprehensive high end travel logistics for the executive's corporate travel, including research, entry requirements, itinerary planning, booking and confirmation of travel arrangements, preboarding, etc.;

Collaboration - work across levels with various teams; build and maintain relationships with internal and external stakeholders, including the Board of Directors

Special Projects Leadership - you will be exposed to a variety of special projects in HR, which you will plan, oversee and drive to completion, requiring the ability to think on your feet and navigate situations you have not faced before.


What are your skills and experience?

  • 4+ years of experience supporting a Clevel executive; experience in Human Resources, Communication and/or Project Management is an asset.
  • Bachelor's degree required
  • Ability to adapt to change and understand business priorities; eager to try new things, understand the business, anticipate needs and implement and adapt processes as needed to optimize outcomes
  • Exceptional organization, time management and project management skills; able to prioritize, operate with urgency and meet tight deadlines
  • Demonstrated good judgement and finesse utmost discretion, tact, and professionalism
  • Exceptional communication skills ability to communicate clearly and concisely in oral and written communications; understand and adopt the voice of the executive office
  • Able to build relationships approachable, comfortable, and confident collaborating with internal and external stakeholders
