ABOUT THE ROLE

The Manager, Project Coordination main purpose is to oversee NAV and the requirements for issuing Purchase Orders, Receiving, Invoicing, Item Code Descriptions, Item Codes, Maintenance and create process documents and ensure that they are being completed correctly.


The Manager, Project Coordination support the Project Manager in the day-to-day activities within a Store Development project, including but not limited to; new stores, relocations, expansions, downsizes, renovations, and as the business may require on an ongoing basis.

The Manager, Project Coordination provides "hands on" support and maintenance throughout the full store project including take-off counts, budgets, communication, and procurement.


Responsibilities:

Project /Task Management

  • Prepare Budgets for approval and issue POS's to vendors.
  • Obtain quotes from vendors for budgets.
  • Manage the administration of the Purchase Order Program with pricing changes, and new fixtures.
  • Navigate in system for inventory inquiries, prebooks, picking, invoicing as required.
  • Organize and complete fixture prebooks when required.
  • Tender quotes from vendors as required for project budgets and specialorder items as required by the business.
  • Assist Finance with outstanding PO issues, and variance analysis for project stores.
  • Attend meetings with merchandising, finance and order department, as required.
  • Navigate in system for inventory inquiries, prebooks, picking, invoicing as required.
  • Prepare budgets for approval in accordance the Store Development Project Updater.
  • Update project schedule with key dates and send out weekly updates to internal departments and vendors to ensure critical due dates are met for the successful set up and completion of the store project.
  • Initiate contracts for corporate stores as required and forward to legal for approval and signature (Waste Mgmt., HVAC, Window/Floor Cleaning etc.).
  • Prepare Pre-Fixture Kick off updates outlining fixture status. Anticipate and proactively manage inventory risks.
  • Provide support to the Project/Construction Managers in the administration of contract changes, project change orders, work schedules, deficiencies and asset lists within each designated region.
  • Organize and complete project store information binders as required for the store build.
  • Resourceful, attentive with details and maintains accurate records.
  • Provide the Manager, Planning Coordination with consistent status reports for all outstanding issues.
  • Regular monitoring and tracking of fixture equipment quantities.
  • Prepare regular weekly, monthly and quarterly reports for categories of responsibility.
  • Prepare all F&E documentation required for item maintenance and new item introduction.
  • Assistance with monthly financial reporting for senior management.
  • GL account reconciliations and variance analysis.
  • Assistance with initial preparation and subsequent monitoring of annual budgets.
  • Review and analyze budgets related to new stores, renovations and relocations.
  • Execute the collection, analysis, payment and compilation of costs related to the buildout of new stores, renovations and relocations.
  • Ad hoc analysis and special projects as required from time to time.
  • Promotes and works to maintain workplace wellness, health and safety, through active compliance with all workplace health and safety policies and procedures.
  • Any other duties as required.
Education & Skills

  • 13 years' experience coordinating projects in a retail environment supported by NAV
  • Intermediate experience with Microsoft Office Suite
  • Basic working knowledge of accounting principles and experience with budgets and issuing purchase orders
  • Ability to organize workflow, multitask at high levels, and manage changing priorities within specified timelines
  • 13 years' experience of working with simultaneous projects
  • 13 years' experience working in a fast paced, deadline driven environment
  • Proficiency and comfort level to communicate in one on one settings, group situations and over the telephone
  • Excellent communication skills (both oral and written)
  • Resourceful, attentive with details and maintaining accurate record
