Responsibilities:


The HIS Program Coordinator will be a skilled administrator and relationship builder with academics and students in the Health Information Science (HIS) Program.

They will work closely across both primary Faculties (FIMS & FHS), with the HIS Graduate Program Chair(s), and HIS Program Committee, to support the administrative resources, and enhance all aspects of the HIS experience for Masters and PhD students.

Please note that this part-time position is a student-facing in-person role.


Alongside the HIS Program Chair(s), the incumbent will coordinate program retreats to increase the engagement of faculty and staff members in the HIS program.

They will seek out and make partnerships with various faculty members in FHS, FIMS and across campus to promote the HIS program, coordinate seminars for faculty and students, coordinate research guests and speaker series, as needed, as well as work actively to raise overall awareness of, and recruitment to, the program.


KEY ACCOUNTABILITIES:
STUDENT/ FACULTY LIAISON

  • Facilitates the student learning experience for the HIS program and provides feedback to program leaders. This includes responding to student inquiries, identifying opportunities to improve student experience and working with leaders to support improved student experiences in the HIS program.
  • In collaboration with the FIMS and FHS Graduate Student Services, maintains HIS program information and assists prospective and current students by providing information regarding admissions review and progression requirements, program eligibility, scholarships and graduation requirements.
  • Works with FIMS and FHS faculty members to ascertain the number of T/A placements available for HIS Masters and PhD students in either faculty.
  • Coordinates new student orientation, along with FIMS and FHS Graduate Student Services.
  • Maintains accurate records of each student and monitors individual progress through the program, alerting the Program Chair(s) when students fail to meet progression requirements.
  • Supports the HIS Program Committee as needed with regular or adhoc administrative tasks.

FACULTY SUPPORT AND RAISING AWARENESS

  • Supports the development of consistent practices across FHS/FIMS graduate program administrative areas that affect the HIS program.
  • Assists the HIS Graduate Program Chair(s) in the preparation of program proposals and accountabilities along with the GSS Manager for consideration of the various FIMS/FHS Committees, SGPS, Senate etc.
  • Provides support to the HIS Program Committee for the continued development of the HIS Masters and PhD programs, opportunities for program growth, and integrating the HIS program with other graduate programs across both faculties.
  • Assists the HIS Graduate Program Chair(s) to organize an annual program retreat, which helps develop the HIS Masters and PhD programs and ensures their sustainability and success.
  • Supports in maximizing the value and efficiency of the HIS program in terms of its development and planning.
  • Establishes and maintains relationships to develop, create and promote the conditions for effective faculty and student engagement, including research supervisions.
  • Connects members to regularly assess policies, procedures and quality improvement metrics, and ensures that processes are in place to accommodate new opportunities for the HIS program.

Qualifications

Education:


  • Undergraduate Degree Major in Business Management/Administration, Health Administration, Public Administration, Human Resources/ Industrial Relations or related field.

Experience:


  • Minimum three years relevant experience in the coordination and execution of administrative programs/events/academic programs.
  • Demonstrated experience working on multiple events with a variety of stakeholders.
  • Excellent ability to coordinate and execute event logistics for a variety of audiences for small to largescale events.
  • Strong time management skills and ability to prioritize tasks and responsibilities to meet strict deadlines.

Skills, Abilities & Expertise:

  • Team leadership skills and the ability to take initiative and work collaboratively with others, including academic and administrative staff, and external parties in an academic and/or academic health sciences setting.
