What can I expect to do in this role?: In this position, you will:

  • follow established detailed procedures for operating mail processing equipment;
- check the condition of large, high-speed machinery;
- carry out minor maintenance or repairs;
- receive, handle, package and store stock items, materials and products required for print and mass mailing operation;
- take inventory and monitor stock and equipment levels;
- maintain either a manual or computerized inventory database by entering and updating stock transactional data;
- unload shipments, check incoming materials and supplies against packing slips for shortages, damages, errors and substitutions, and verify accuracy against purchase order;
- prepare receiving/shipping reports for incoming/outgoing goods;
- assist in other mail processing duties, as required, e.g. providing technical guidance to temporary staff/students


How do I qualify?:


Technical Knowledge and Experience:

- you have demonstrated experience operating various mass mail/print technology systems and output equipment;
- you have knowledge of equipment performance, maintenance standards and operational guidelines to respond to equipment control messages and to monitor equipment maintenance requirements;
- you have an understanding of Canada Post mail classes, postage rates and standards; mail distribution guidelines, and carrier pre-sort guidelines, to determine the most cost-effective rates for mailings, prepare electronic Statements of Mailing and to process mailings;
- you have knowledge of relevant privacy and security standards and regulations for safeguarding sensitive and highly confidential information, including Freedom of Information and Protection of Privacy Act (FIPPA) and privacy breach protocols and best practices;
- you have knowledge of safety standards, procedures and regulations for safe operation of all machinery and visible electrical connections to educate staff and ensure compliance with Occupational Health & Safety Act requirements


Analytical and Problem-Solving Skills:

- you can determine the nature and quantity of materials required for each print/mass mailing job;
- you can sort outgoing mailing in accordance with Canada Post guidelines, to determine the lowest cost option for each mass mailing;
- you can troubleshoot for equipment malfunction (e.g. reading/interpreting error messages and following established procedures to resolve the errors) and adjust equipment in accordance with instructions outlined within equipment operating manuals;
- you can reschedule or redirect jobs to another device in response to unscheduled disruptions and downtime arising from equipment malfunctions to meet service delivery commitments;
- you can make recommendations to management (e.g. suggesting procedures to improve the turnaround of jobs, suggesting modifications to processes and procedures)


Communication and Interpersonal Skills:

- you can share information with colleagues to provide factual information in response to inquiries;
- you can maintain record logs, complete production documents and record client requirements;
- you can educate and provide technical guidance to new operators (e.g. students)


Other Essential Skills:

- you are proficient with print management information system software (e.g. AVANTI-Print and Logistics (PAL) System) and understanding/ability to use incident and change management software and processes;
- you have inventory management skills and knowledge of logistics best practices for monitoring, receiving, handling, packaging stock items, materials and products required for print and mass mailing operation
