Description

The Administrative Assistant - Physician formally reports to the Clinical Leader Manager (CLM) while providing day-to-day clinical and administrative support to a physician, or group of physicians.

The Administrative Assistant - Physician coordinates daily activities of the physician's office/clinic and ensures smooth functioning of the physician's practice, while providing professional and caring service to the patients.

DUTIES & RESPONSIBILITIES:
  • Organizing physician's schedule
  • Answering, screening, and transferring phone calls politely and courteously.
  • Ensure patients understand instructions given for tests and medical procedures.
  • Maintaining patient confidentiality
  • Creating and maintaining an efficient filing system for clinical and administrative matters
  • Maintaining an updated database of appointments, diagnoses, and disposition decisions.
  • Accurate handling and preparation of OHIP billing procedures, submitting billing with additional documentation or letters daily / weekly, and following up on unpaid billings biweekly.
  • Managing expense accounts
  • Providing basic office management and organization, maintaining an updated inventory of supplies and equipment
  • Managing physician clinic appointments to ensure a wellorganized clinic; booking procedures and setting up patient reminders.
  • Provide quotes invoices and receive payments

QUALIFICATIONS:


  • Responsible, efficient, personable, and motivated individual who is a graduate of a recognized Medical Administration program, or equivalent experience
  • Successful completion of a Medical Terminology certificate
  • Proficient computer skills with advanced knowledge of Word, Excel, Adobe, and PowerPoint
  • Excellent interpersonal and communication skills, with an ability to clarify priorities amongst CLM and physician(s)
  • Professional and consistent customer service skills
  • Previous experience as an administrative assistant to a physician is preferred
