Detailed Overview:
Under general supervision of the Manager, Health Services or designate, performs secretarial duties and administrative duties for the Psychiatric Group Therapy Centre


Responsibilities:

  • Performs secretarial duties such as screening incoming materials; prioritizing items for the attention of the department head or primary therapist; responding to inquiries by drafting correspondence for signature or referring to appropriate area.
  • Types material such as correspondence, reports and documents utilizing various word processing software and computerized sytems by performing functions such as inputting patient information, maintaining registers, and typing from draft or general instruction and transcribing from dictaphone. Prepares various informational/resource packages by updating, photocopying, assembling and collating package brochures for distribution to the patient and/or family.
  • Schedules appointments, meetings and determines urgency of requests in order to provide effective response for patient services or other inputs.
  • Coordinates work flow by gathering information from files, directing referrals to appropriate worker according to predetermined criteria.
  • Maintains records such as timekeeping attendance; departmental statistics, by utilizing various electronic databases and within established guidelines.
  • Performs receptionist duties such as receiving and prioritizing incoming inquiries and directs to appropriate person or area; following established procedures, provides information to patients/families regarding resources available in the community/hospital when required.
  • Sets up and maintains filing system for patient records and correspondence.
  • Maintains levels of stationery, office supplies and resources according to predetermined levels by methods such as photocopying, completing requisitons for signature and forwarding approved requisition to appropriate personel; maintains petty cash for department.
  • Performs other related duties as required.

Qualifications:

Education and Experience


Grade 12, graduation from recognized secretarial program, including a recognized course in medical terminology and three years recent, related experience, or equivalent combination of education, training and experience.


Skills and Abilities

  • Ability to keyboard at 60 w.p.m.
  • Ability to operate related equipment.
  • Ability to organize work.
  • Ability to communicate effectively, both verbally and in writing.
  • Ability to deal with others effectively.
  • Physical ability to carry out the duties of the position.
