Position Summary:


  • The Program Administrative Assistant will welcome visiting youth, professionals, and guests. The successful applicant will have excellent customer service skills, experience working in a youthfocused environment with multiberried youth and an excellent telephone manner. They will provide accurate wordprocessing support, including editing/composing a variety of correspondence and assisting with organizing meetings and/or special events and organizational and research projects as directed. They will develop and maintain a wellorganized filing system (paper and electronic) as well as uploading documents to the database that permits easy reference and rapid retrieval of information, which includes managing a series of webbased file management systems. They will receive and respond to telephone inquiries in a timely and professional manner

Primary Duties:


  • Assisting with the hiring process, setting up interviews and sending communications, participate in monthly team meetings, note taking. Assisting staff members with adminrelated duties such as data collecting, information tracking, printing, etc. At times, supporting inhouse events and activities.
  • Manage boardroom bookings.
  • Maintain the general appearance of the reception area, ensuring safety and an overall welcoming environment.
  • Responsible for ordering, tracking, and organizing office supplies, cleaning supplies business cards, etc. as requested by the Manager.
  • Operate and ensure general care and maintenance of all office equipment, liaise with equipment companies for regular maintenance and urgent requests.
  • Performs all other related duties as required.
  • Regular checkins with team lead
  • Provide coverage, and support as needed to the NYH and CCYH admin team.

Dimensions of Work:


  • Work is based on a flexible schedule with core hours of 8:30am 5pm Monday to Friday, including flexibility that may involve weekend participation.

Qualifications:


  • Advanced computer skills including Microsoft Office Suite; certificate or diploma in Office Administration
and three years' experience in a busy environment; equivalent experience and education considered

  • High command of English, both written and verbal, as proofreading is
  • Customer service, with a special interest in working specifically with vulnerable or marginalized individuals
  • Experience with a busy multiline phone system
  • Demonstrated ability to be flexible and adaptable, effectively prioritize tasks and manage time, capable of switching focus from one task to the next, responding appropriately, as needs in the center vary
  • Experience creating and working within a culturally inclusive environment for staff, partners, and participants

  • Criminal Record Check, including the vulnerable sector
  • Proof of being fully Vaccinated for Covid 1
  • Standard firstaid certificate and CPR
  • Demonstrated ability to operate office equipment
  • Suitable to work with multibarrier youth
  • Computer skills (M.S. Word/Excel/Outlook)
  • Reliable transportation
  • Experience working in social services and multihub program
  • Experience in tracking and monitoring federal contracts
  • Experience with Salesforce and/or other Data Management Systems
