DESCRIPTION:
Under the general direction of the Supervisor Warehouse Operations, this position will provide technical, financial and administrative support to the Acheson Service Centre.
DUTIES & RESPONSIBILITIES INCLUDE (but not limited to):
- Provide day-to-day administrative support to the Acheson Service Centre, Yard Operators, and Reconditioning Services; which includes completing material orders, credits, logs, work orders, reports and resolving material inquires.
- Provide administrative support to Material Coordinators as required.
- Provide advice to internal departments on a variety of inventory related topics as required.
- Maintain fleet forklift files and environmental reports for used sale, recycle and donation poles.
- Prepare invoices and create billing documents, sales orders for scrap material credits and accurately invoice external customers for scrap material for all FortisAlberta locations.
- Process purchase requests, journal vouchers and fulfill centralized purchasing role with considerations of the operation budgets.
- Respond to concerns from internal auditors pertaining to compliance within CSOX regarding inventory counts, accounting practices, material management and other pertinent processes.
- Create all count sheets for annual inventories and/or cycle counts. Fulfill the role of Procurement Leader as well as Enterer throughout the count process.
- Lead, analyze and advise all material inventory counts in Acheson and District Service Locations (DSLs). Report count results to Managers and Directors.
- Assist with monthly budgets by producing budget reports, accruals and coding invoices.
- Enter exception time into SAP and maintain the Warehouse, Reconditioning, and Yard Operator schedules for vacation and oncall.
- Input safety investigations and upload Safety Incident reports from FLIPS into SAP ensuring damaged material is accounted for through the Miscellaneous Accounts Receivable (MARS) processes.
- Update and maintain safety standards binder, replenish all safety supplies and record and distribute safety meeting minutes.
- Work closely with IT to implement changes, upgrades and new functionalities in SAP and to write and perform test scripts.
- Provide coaching and training of SAP processes to new and junior staff in Warehouse and Field Operations.
- Review and analyze the effectiveness of existing policies, procedures and practices pertaining to Acheson Service Center; recommend and implement improvements as required.
- Provide administrative support to leaders on a variety of business matters including the new hire process, financial processes, reporting, etc. while maintaining a high degree of confidentiality.
- Build and maintain relationships with a variety of internal and external stakeholders to resolve material breakdowns, and to develop new practices around material stocking and processes for the warehouse.
- Assist in facilitation of meetings and organize events for the operation.
- Prepare reports and analysis documents as required.
- Special projects and other duties as assigned.
KNOWLEDGE, SKILLS & ABILITIES:
- Intermediate to advanced skills in Microsoft Office (i.e. Word, Excel, PowerPoint, Teams, One Note and Outlook) and SharePoint.
- Intermediate skills in SAP (Time Entry, Materials Management, Budgeting, Customer Information and Accounts Receivable).
- Proven ability to develop and maintain effective relationships with team members and internal and external stakeholders.
- Demonstrated organizational skills and ability to work independently with mínimal supervision and manage multiple priorities and competing demands within tight timelines.
- Good communication skills in both written and verbal as demonstrated in the management of requests while working with other departments and team members.
- Attention to detail with the ability to accurately maintain data in the Material Management System.
- Strong analytical skills required to resolve issues and evaluate possible solutions.
- Demonstrated initiative in recognizing opportunities for improvements and efficiency in processes and practices.
REQUIRED QUALIFICATIONS:
- A High School Diploma plus a minimum of three (3) years of experience in a warehouse environment or three (3) years in an administrative role is required;
- An equivalent combination of education and experience may be considered.
