Property Manager to join our vibrant and fast-paced team in the Greater Toronto Area.
The Opportunity
The Property Manager position will appeal to a responsible individual who enjoys variety in management of operations and projects.
This person will lead day-to-day operations at the designated property, implementing the business strategy and leading the staff who are responsible for administration, leasing, maintenance and resident services with overall responsibility for ensuring a high-quality resident experience.
Responsibilities also include risk management, contributing to and adhering to property budgets, staff and contractor performance management and ensuring a high level of customer service is delivered and maintained at the property.
The Property Manager reports to the Regional Manager-Residential (or as otherwise designated).Accountabilities
Operations
- Assume overall accountability for the results and activities at the property, ensuring the efficient and effective operation of the business based on the agreed strategy.
- Ensure the property is well maintained and managed in accordance with approved budgets and applicable laws and regulations.
- Obtain quotes and approve purchases for supplies and services as required within company policy.
- Manage and maintain the mandates for security ("Post Orders") and circulate to appropriate team members to ensure role clarity.
- Conduct scheduled and impromptu inspections of the Property.
- Conduct weekly vacant suite inspections.
- Identify and manage risks, and ensure appropriate incident reporting.
- Work in cooperation with the Construction and Service teams to successfully complete projects, including, but not limited to, capital improvement projects, conducting daily inspections.
- Management enforcement of and compliance with the Residential Tenancies Act and the Tenancy Agreement when residents are in breach, including initiation of civil action if required.
- Ensure operations records, files and documentation are maintained accurately, in a timely manner and in accordance with established procedures.
- Ensure that the Fire Safety Plan is kept up to date, and that stated safety protocols are executed.
- Liaise with retail and office property management in this mixeduse property to ensure smooth operations between the areas and cooperative management of any shared facilities or amenities.
- Oversee rent collection, accounts receivables and monthly financial reporting/practices.
- Review and approve resident chargebacks/credits.
- Practice excellent resident relations (working with team leads) to ensure resident feedback and complaints are dealt with in a timely and professional manner, using excellent service and conflict resolution strategies when communicating with residents.
- Monitor resident touchpoint followup and feedback, taking servicerecovery action if warranted.
- Participate in community events, as appropriate.
Leasing
- Oversee leasing and make recommendations on pricing and incentive strategies to clients that align with market conditions and the approved leasing plan.
- Monitor the leasing process, work with the Leasing Manager to analyze leasing reports and ensure reporting is accurate and uptodate in realtime.
- Ensure effective advertising strategies are in place to drive sufficient traffic to the property to meet business objectives.
- Approve leasing commissions and bonuses.
- Monitor the lease renewal process, negotiate renewals with residents, and make recommendations for deviation of rent increase amounts if warranted.
- Establish comprehensive knowledge of the residential community, including availability of suite types and layouts, common areas and amenities of the building and valueadded services provided.
- Work with the Service team to ensure all vacant suites are continually in marketready condition.
- Ensure all moveins are properly scheduled and conduct or oversee movein inspections.
- Attend Resident Orientation Events.
- Monitor RENTCafe, the property website and ILS Listings to ensure content is current and accurate.
- Maintain the customer database to ensure all leads are responded to and that there is appropriate followup activity.
Customer Service
- Practice excellent resident relations (working with team leads) to ensure resident feedback and complaints are dealt with in a timely and professional manne
