What's the role?


Reporting to the AVP, Procurement & Premises, the
Premises Coordinator plays a key role in effectively supporting the business functions in all areas of accountability of the Premises Department.

This role requires proven knowledge and experience in property management skills to assist with the monitoring, reviewing, and development of existing properties for compliance with Coastal Community's property management policy.

The Premises Coordinator is responsible for providing assistance towards the maintenance of the property management information system, Business Continuity Planning (BCP), and administration of Master Property and Insurance renewals, while ensuring adherence to organizational, departmental, and regulatory policies and procedures.


Duties will include:


Planning and Monitoring

  • Contributes ideas to the development and assists with documenting the annual operating plan, budget, and targets for the Premises Department.
  • Assists in the documentation of programs or practices and reviews them on an ongoing basis. Provides updates and reports as required.
  • Is responsible for the maintenance and presentation of the Premises portal page.
  • Updates and revises Premises documents and folders on the Premises Web Portal as well as maintains all items on the page including the signage information web site.
  • Assisting the Premises Department with security systems access, password, and carding services.
  • Submits slip and fall claims for both members and the public.
  • Submits Master Property Insurance Program Documents to Central.
  • Collects, compiles and reports on information collected annually for MMBC.
  • Responsible for the administration of Business Continuity Plan documents.

Property Management

  • Maintains accurate records for the Premises Property Information System, including but not limited to expirations and renewals of service contracts, inventory of current floor plan drawings, independent contractor agreements, privacy policy agreements, security runner service, signage maintenance, utilities, fire inspections, HVAC maintenance, cleaning agreements, furniture, landscaping, elevator maintenance, and roofing maintenance.
  • Assists with the scheduling and coordination of service contractors and providers to ensure the proper care of Coastal properties.
  • Responsible for the monitoring and implementation of the multilock keying program.
  • Is a member of the Business Continuity Plan BCP Facilities Team.
  • Administers and maintains repair and maintenance logs for all locations.
  • Completes other premise related tasks as required.

What are we looking for?

  • Grade 12 education and completion of a Post Secondary Certificate in Office Administration, Property Management; or an equivalent combination of education, training, and experience
  • 25 years of recent, related experience, preferably in a servicerelated environment
Ideally, you are a flexible, collaborative team player with:

  • Previous premises-related experience, preferably in a financial sales and service environment, an asset.
  • Proficiency with Microsoft Office products, including Word, Excel, and Outlook.
  • General knowledge of building systems, equipment, machinery, and furnishings.
  • Previous experience in a purchasing role would be an asset.
  • Previous experience with developing and implementing business process improvements would be an asset.
  • Previous building construction experience or training would be an asset.
  • Previous property management experience would be an asset.
