The Role
As one of the MCAP Group of Companies, MCAP Financial Corporation ("MCAP") originates and services commercial mortgages and construction loans on behalf of its investors.
Reporting to the Senior Manager, Commercial Servicing this contract role will primarily be project focused and responsible for preparing the business unit for Data Retention policy readiness.
The key function of this position will be to ensure that files housed at our Iron Mountain storage facility are properly documented noting destruction dates and reviewing paper files/boxes with improper/vague labeling.
The role will also support the movement of files during our upcoming office move. The role may require up to five days a week in the office.Iron Mountain
- Ensure that the Commercial Mortgage Group's Iron Mountain archival records and inventories follow the Record Retention policy of the business unit
- Review files/boxes held on the Iron Mountain system to ensure that the contents are clearly documented and properly notated with destruction dates
- Update contents and destruction dates on the system
- Call back files/boxes into the office for review of contents
- Manage the volume of boxes in the office and the proper return to Iron Mountain
- Monitor and track progress of filing workload to determine completion/outstanding rate
General File Maintenance

Filing, sorting, photocopying and scanning of paper documents as required
- Support the Investor Account Specialist as required to ensure a timely completion of the file cleanup project
- Work with the Facilities Team as required to manage files during the office move and ensure emptying and replacement of paper recycle bins
- Review of assigned SharePoint/shared directories to ensure compliance to the Record Retention policy
- Seeking direction on files if contents or handling are not clear
- Seeking approval for destruction of files as required
What You Bring To The Team
- 1+ years experience in a similar filing or data retention role
- Experience with Iron Mountain and Iron Mountain filing systems would be an asset
- Experience with commercial mortgage documents is considered an asset
- Proven track record of being a selfstarter and taking initiative
- Diligent work ethic and focus on the task at hand; ability to meet deadlines
- Proficient with Microsoft Outlook, MS Word, MS Excel, MS PowerPoint
- Ability to lift paper file boxes up to 50 lbs
- Quick learner with ability to understand key loan documents
- Strong analytical and organization skills
- Effective verbal and written communication skills
- Ability to take, understand and follow through on directions
- Ability to maintain discretion, confidentiality and privacy when reviewing files
- High School Diploma or similar work experience
