Position Summary:


The role of Real Estate Services Assistant presents the opportunity to work on the leading investment brokerage team in Greater Victoria and play an integral part of some of the largest, most recognized, and most complex commercial real estate transactions regionally.

The Real Estate Services Assistant's primary objective is to provide administrative assistance to ensure the smooth process of commercial real estate transactions.

As part of our team, you will work with team members across Canada and will be exposed to some of Canada's leading investment professionals.

Key duties and responsibilities of the Real Estate Services Assistant are as follows:


Essential Duties and Responsibilities:


  • Provide general administrative support to a team of sales professionals, analysts and marketing professionals
  • Gather supporting documentation for real estate transactions to complete the Deal Sheet, FINTRAC, all RECBC required documents for compliance purposes, and process Brokers' commission payments while abiding by company policies as well as local and national laws.
  • Perform administrative duties such as updating and maintaining client databases, dataentry of expenses and statements, bookkeeping, running errands, scheduling meetings, printing/scanning/filing various documents and maintaining confidential files
  • Serve as a liaison with those outside of the department (front desk, office, conveyance, and IT) regarding administrative issues.
  • Assist in collecting and filing of all deals related documents, and delivery of all marketing materials including brochures, investment packages and market reports or summaries relating to the sale of commercial investment properties.
  • Initiate correspondence and create memorandum by collecting and analyzing information; compiles and prepares data for administrative reports; edit, revise and format documents so they are client ready.
  • Administer the department's record keeping system; ensure that files are maintained in accordance with company policies and procedures
  • Assist with ordering office supplies and tracking stock. Help coordinate industry and team events
  • Contribute to team effort by accomplishing related results as needed
  • Carry out special projects and assignments as required

Qualifications:


  • Relevant experience providing administrative support to a team of professionals
  • Proven ability to achieve high performance goals and meet deadlines in a fastpaced environment with changing priorities and deadlines; sometimes under pressure while remaining flexible, proactive and efficient
  • Ability to work independently on projects, from conception to completion
  • Strong time management, problemsolving, written and verbal communication skills
  • Ability to calculate intermediate figures such as percentages, discounts, commissions
  • Good organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with strong attention to detail
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands and demonstrate the highest level of customer service and response
  • Proven ability to work as a selfmotivated individual and in a team environment
  • Previous real estate knowledge is an asset
  • Extensive experience using Microsoft Office products.
