ABOUT THE HOSPITAL

  • Animal Health Partners_ is a stateoftheart emergency and specialty hospital in Toronto. We are a 30 veterinarian, 120+ support staff hospital housed within a 20,000 square foot facility fully equipped with specialty technology found nowhere else in Canada, including our AI triage and rounding system and 3 Tesla MRI. ABOUT THE ROLE


The
Practice Manager is responsible for overseeing the day-to-day operations of a multi vet, 24 hour emergency, specialist and referral hospital, developing and introducing effective management systems in order to facilitate growth, and manage existing operations.


This role requires the hands-on supervision of a team of 120+ individuals on 24-hour shift rotations and is expected to work a variety of shifts that include: days, evenings, and weekend shifts.

The Practice Manager reports directly to the Operations Director.


In addition, the Practice Manager in collaboration with the leadership team is responsible to ensure operational controls, administrative and reporting procedures and personnel systems are in place to effectively grow the hospital and to ensure its financial strength and operating efficiency.

As a group, the leadership team is responsible for ensuring sound financial performance and team engagement.


RESPONSIBILITIES

  • Develop an efficient, productive client serviceoriented team that provides the highest quality care and service, follows all protocols, and practices, and focuses the team to achieve practice priorities.
  • Provide effective communication between Specialty and Emergency staff and VetStrategy support team.
  • Ensure the hospital delivers outstanding financial results and maximizes growth through short and longterm objectives and effective budgets for the hospital.
  • Facilitates in the growth of the client base by assessing, developing, and implementing new programs, as well as assuring client satisfaction at all times.
  • Supervise the scheduling of clinic staff to effectively meet client needs.
  • Coordinate all clinic maintenance and warranty programs for equipment in the hospital.
  • Select, train and supervise clinic staff to ensure exceptional medical care, quality client service and maximum productivity and to enable team members to grow and develop professionally within the practice.
  • Ensure staff management through coaching, reviews, evaluation and mentoring, including coordination of continuing education programs to assist in achieve objectives.
  • Meet with supplier representatives and ensure information flow to clinicians and staff.
  • Ensure adherence to all VetStrategy and hospital policies, procedures, protocols and ethics.
  • Perform other duties as assigned by the Operations Director or Regional Director.

Administrative

  • Develop and maintain local hospitalspecific written operational policies and procedures in conjunction with the leadership team and VetStrategy as required.
  • Maintain and promote confidentiality relating to all hospital, client and pet dealings.
  • Ensure that:
  • All required weekly, monthly and yearly reports are prepared and submitted as per timetable.
  • Fee schedules are maintained and updated as per policy.
  • Inventory and related computer systems are maintained.
  • Physical inventory counts are completed as per schedule.
  • Accounts receivable are maintained as per policy.
  • Hospital credit policies are implemented, monitor compliance.
  • Invoices are approved in Beanworks as per policy.
  • The overall operation of the hospital is efficient, including staffing levels.
  • Floats are reconciled and daily bank deposits are made.
  • Product markups are accurate (where applicable).
  • Adequate maintenance of the hospital and all equipment is completed on a regularly maintained schedule.
  • Distribute information to all staff as necessary.

Financial Performance & Reporting

  • Develop yearly budget and business plans in conjunction with the leadership team/regional leadership team.
  • Participate in regular meetings with leadership team to review hospital budget and business plan progress.
  • Actively monitor and minimize expenses.
  • Ensure financial targets and benchmarks are achieved.

Human Resources

  • Collaborate with the leadership team to recruit and lead a high performance team using effective leadership, coaching and performance management practices and techniques.
  • Screen applicants and conduct interviews.
  • Work with department heads on all HR matters within each department
  • Contribute towards the performance reviews of all team members when necessary.
