ROLES AND RESPONSIBILITIES


The Service Administrator organizes and prepares a work schedule for the Operators based on work order demands, contractual requirements, time off requests, and on call rotation one month in advance.

The Service Administrator will need to be ready when problems or changes arise and adjust the schedule on a daily basis.


Roles and responsibilities will include:

  • Maintain live updates to schedule to meet financial, contractual, and regulatory requirements.
  • Monitor field team for issues and make suitable arrangements to modify schedules as needed.
  • Responsible to monitor the field team throughout the day for the purpose of meeting safe work processes related to work alone.
  • Provide an updated schedule to the company at the end of the day.
  • Manage and submit oncall reports to Payroll.
  • Use CMS with specific attention toward scheduling and assignment to align with routine schedules.
  • Develop schedule to ensure resource management and crosstraining of operators is achieved within respective regions, including where possible maintaining operator working hours at 40 hours per week.
  • Coordinate with different departments to achieve optimal work production across the board.
  • Monitor and maintain processes to ensure a smooth flow of operations.
  • Evaluate current operational procedures and develop process improvement recommendations to facilitate quality improvement efforts.
  • Vehicle maintenance tracking and coordination following preset schedules for routine maintenance and collaborate with procurement for payment.
  • Develop on call schedule in conjunction with work schedule.
  • Review Operator checkins to ensure the safe arrival / departure of employees.
  • Work with the Training Specialist to coordinate required training opportunities.
  • Work with Purchasing Specialist to coordinate the delivery of materials in a timely way to operators.
  • Preparation of MTO Encroachment Permits to permit access to Client Facilities in right of way of 400 Series Highways.
  • Oncall aid.

SKILLS AND QUALIFICATIONS

  • A high school diploma is required.
  • Two years of experience in a related role is an asset.
  • High level of skills with Microsoft Office (Outlook, Excel, Word).
  • Strong scheduling and planning skills with the ability to make future projections.
  • Must be able to work independently with little supervision and be able to work quickly with high accuracy.
  • The ability to efficiently multitask in a fastpaced environment.
  • Strong written and verbal communication skills, along with active listening.
  • Excellent interpersonal skills with the ability to work collaboratively and diligently with individuals at all levels of the organization.
  • Positive, responsible and selfmotivated with demonstrated organizational skills.
