Position Summary:


We are currently seeking a highly motivated administrative professional to contribute to our organizational mission of working with our communities to promote and protect health and prevent disease.


Reporting to the Administrative Assistant in the Sexual Health, Vaccine Preventable Diseases and COVID-19 Vaccination Division, the Secretary is an integral member of a multidisciplinary team.

The Secretary provides general and confidential administrative and secretarial support to the division, maintaining a high standard of professionalism in accordance with the organization's policy.

The position promotes and maintains excellent public relations with staff.


Responsibilities:


  • Ensures that all confidential secretarial functions and operational administrative services are provided in accordance with agency policy.
  • Maintains confidentiality and/or security of information.
  • Assists in the scheduling of appointments, arranging of meetings, organizing and preparing for events, booking facilities, organizing the delivery of presentation equipment, preparing necessary documentation, providing for catering arrangements and informing participants of arrangements as required.
  • Assists in the coordination of travel, accommodations, conference/workshop registration, booking meeting rooms and processing registrations for the division staff.
  • In collaboration with the Divisional Administrative Assistant and Administrative Assistant, ensures that administrative activities are organized and efficient ensuring the smooth operation of the division.
  • Ensures that urgent matters are brought to the attention of the appropriate individual(s) in a prompt manner.
  • Provides support for relevant internal and external studies/special projects/reports and committees.
  • Sorts and distributes correspondence delivered to the Division.
  • In collaboration with the Divisional Administrative Assistant and the Administrative Assistant, ensures that the division manuals, documents, materials, equipment and databases are kept uptodate to support agency policy.
  • Participates as an ad hoc member of the Administrative Assistants Committee and participates on other committees of the agency as assigned.
  • Maintains confidential computerized and hard copy filing systems for division staff, as assigned.
  • Provides input for the ongoing development of policies and procedures at the agency and division levels.
  • Keeps direct supervisor uptodate on salient events and issues related to assigned responsibilities.
  • Responsible for the maintenance of the division cash float if assigned.
  • Provides input into the budget process upon request.
  • Performs general administrative and clerical duties such as photocopying, faxing and ordering supplies.
  • Supports the division as SharePoint super user.
  • Supports the division as Records Steward.

Requirements:


  • Successful completion of a postsecondary secretarial program or equivalent education, training and work experience.
  • Minimum of two years' experience performing confidential secretarial duties in a related field.
  • Advanced word processing skills and proficiency in all Microsoft Office programs including Word, Excel, Outlook and PowerPoint. Desktop publishing and database management skills an asset.
  • Ability to work with mínimal supervision.
  • Welldeveloped decisionmaking, problem solving, interpersonal, organizational and written and oral communication skills.
  • Demonstrated ability to manage and organize routine correspondence, multiple task/projects, diversified workload and rapidly changing priorities and challenging deadlines.
  • Minute taking experience would be an asset.
  • Advanced oral and written proficiency in English is essential.
  • Current Ontario driver's licence and access to a reliable vehicle.
  • Ministry of Labour "Worker Health and Safety Awareness in 4 Steps" training certificate is required.
