The Public Health Division functions to protect the health of Albertans by providing strategic direction and leadership in the development of provincial legislation, policies, strategies, and standards in compliance monitoring, communicable diseases, immunization, environmental health, emergency preparedness, and health promotion.

The division utilizes this function to support innovation and engage Albertans in wellness, health promotion and injury and disease prevention.


Role:


One position would report to the Executive Director (ED), Health & Wellness Promotion Branch, and the other position would report to the ED, Health Protection Branch.


These positions provide day to day senior level administrative support to the ED and staff to assist and maintain the office information and workflow supporting Branch operations.

These positions are responsible for prioritizing work for the ED's to ensure goals, roles and responsibilities of the Branch are met and maintained.


These roles will coordinate and track activities relating to the business of the branch including human resources, records management and 1GX workflows.

Additionally, this position is responsible for maintaining the Executive Director's calendar, which consists of scheduling multiple meetings, preparing and acquiring background information or briefings to compile meeting packages, minutes for management meetings, travel arrangements and accommodations.


Key Responsibilities include:

  • Review, action, and control requests for information/input/approval by forwarding to reviewers (e.g. Branch Managers) managing and communicating due dates, coordinating responses and preparing and sending a response to the originator.
  • Liaises with the Assistant Deputy Minister's office in the exchange of information. Ensures requests are handled promptly, courteously, with discretion and maintains confidentiality.
  • Manage human resource activities for the Branch.
  • Gathering information from various sources and researching background material prior to assigning action requests to the appropriate team.
  • Compiles charts on Microsoft Excel, edits Word documents, and edits and creates Visio documents.
  • Reviews incoming correspondence to the Executive Director's office, assigns priority and ensures incoming correspondence is handled appropriately by delegating, initiating an independent response, or referring to the Executive Director.
  • Utilizes 1GX for human resources requirements and supports staff as required. Provides 1GX verification for the Executive Director.

Qualifications:

High School Diploma and at least 3 years of related experience is required.

The following experiences are required

  • Directly related experiences and or supporting executive leadership in an administrative capacity
  • Advanced skills working within the full Microsoft Office suite, including Visio
  • Experience with 1GX or comparable human resource system
  • Experience collaborating and coordinating within and between work areas to achieve deliverables
  • Experience working with human resources policies and procedures
  • Experience managing multiple priorities in a fast paced environment
The following experiences will be considered as an asset:

  • Advanced experience with 1GX
  • Experience working with ARTS (Action Tracking System)
  • Experience with BERNIE and ServiceNow Applications

Equivalency:
Directly related experience or education considered on the basis of:

  • one year of experience for one year of education or
- one year of education for one year of experience.

$1,884.99 to $2,307.87 bi-weekly ($49,198 - $60,235 / year)
