Your Impact:


We are looking for an
Assistant Contract Administrator to join our Construction Utility Services group to assist the team with coordinating and administering the day-to-day activities for multiple utility construction projects.


In this role you will be a support to the Construction Manager with supporting the team on site, communicating with contractors directly, along with ensuring that all necessary contract related documentation is prepared, maintained, and submitted for each project.


How you will contribute to the team:

  • Coordinate with the site review team, for the following tasks:
  • Daily communication with site review staff
  • Assist and prepare appropriate site documentation, payment certificates, logbooks and other relevant reports conforming to each project's specific needs
  • Maintain necessary document control and participate in appropriate QA/QC processes
  • Attend preconstruction and progress site meetings, complete and issue minutes of meetings
  • Prepare construction change orders, notices and assist in resolving claims
  • Undertake site reviews as required, maintaining site diary, interpreting contracts, and ensuring compliance with contract terms and the requirements of the scope of work
    , and client requirements.
  • Prepare draft cost estimates for securities, including takeoffs and updating a costing database.
  • Prepare tender documents, and support Contract Administrators with tender closings, issuing of addenda and tender reports to clients.
  • Prepare draft security reductions and final project close out documentation.
  • Liaise with contractors, utility providers, and agency staff to ensure construction complies with approved drawings; assist in resolving problems and discrepancies.
  • Review design standards to ensure drawings comply with utility codes/standards and/or other agency guidelines.
  • Assist with the coordination of utility designs as needed, complete conflict and constructability reviews of utility designs they are received.
  • Assist in the coordination of streetlight and power distribution design with both internal and external agencies.
  • Work with online construction management database to setup and enter current project information, tender results, payment certificates, and contract documentation.
  • Embrace safety and maintain a healthy and safe workplace and ensure compliance with all applicable codes and legislation, including occupational health and safety, WHMIS and hazardous substances programs.
  • Establish and maintain positive and effective working relations with all members of the project delivery team.

What you bring:


  • A diploma or degree in construction management, civil or electrical engineering is preferred.
  • Registered and/or certified with OACETT and /or member of PEO is considered an asset.
  • Minimum two (2) years' experience in utility servicing and construction industry.
  • Proficient with Builterra and business software such as Microsoft Office Suite (MS Word, Excel, Outlook).
  • Understanding of basic survey methods/techniques and ability to read/interpret drawings.
  • Must have sound knowledge of design standards, specifications and materials associated with installation of utility plans and networks (electrical, gas, telecommunications).
  • Demonstrated ability to keep accurate, timely records for a multiple project workload.
  • Ability to communicate professionally and effectively with employees, contractors, agencies, and clients.
  • Effective analytical and decisionmaking skills, with commitment to excellence and highquality work.
  • Excellent verbal and written communication skills for interaction and correspondence with clients, colleagues, consultants, and team.
  • Valid "G" driver's license in good standing and a reliable vehicle for travel to/from sites.
