CUPE 4400 Unit C - Grade I (12 Month)
**$ $32.58 per hour

  • Reporting to an Administrative Team Leader, the Facilities Assistant will be responsible for providing _
- clerical and administrative support services to staff at a designated office. The Facilities Assistant _
- will work closely with and support the work of designated staff. _


Summary of Duties:

Provide administrative support to managers and supervisory staff (e.g., create reports and

correspondence, organize mass mailings, maintain databases, create and maintain spreadsheets);
Distribute forms, vouchers, manuals, log books, etc.;
Receive, track and distribute incoming mail and deliveries to the site;
Maintain office supplies, monitor stock, and control issuing of same;
Develop and maintain distribution lists and update Outlook profiles;
Maintain filing systems;
Schedule meetings, prepare agendas and take notes/minutes as required;
Receive and assess employees' attendance reports and payment claims;
Input, track and ensure the accuracy of SAP timecard entries, employee absenteeism, leaves of

absence, vacations, banking and use of lieu-time;
Liaise with supervisory staff in the department and the appropriate Employee Services and Payroll

staff to resolve any discrepancies pertaining to these records;
Assist and back-up the work of other administration staff in the office/department; and
Other related duties as assigned.


Qualifications:

Secondary school diploma including courses in computers and office administration and one

year of related experience, or an equivalent combination of education and experience;

databases, and human resources/financial information systems;*** Strong written and oral communication and note-taking skills;
Ability to communicate effectively with callers and staff with customer service focus;
Strong organizational skills;
Good analytical and problem solving skills;
Good understanding and working knowledge of related TDSB policies, procedures and

collective agreements covering operations, maintenance, construction and clerical workers with
respect to absenteeism, leaves of absence, vacation allotments, etc.; and

Knowledge of general office procedures.


Location:15 Oakburn Crescent (Hybrid Work Eligible)


Hours:35 Hours per week


Work Year:12 Months
