Salary: 44k-47k annually, based on experience and qualifications
Responsibilities:
- General administrative tasks as needed, such as ordering office supplies, taking minutes during CAC and JLMM meetings, and filing confidential documents
- Working in collaboration with HR department to assist with employee onboarding, recruitment efforts, and scheduling to ensure adequate staffing levels across all sites
- Maintaining discretion and confidentiality in all communications
- Preparation of letters, memos, reports, and presentations in a timely manner
- Streamlining flow of information amongst appropriate stakeholders
- Tracking expenses and organizing reimbursements for executive team
- Calendar management, including: scheduling meetings with internal and external stakeholders, agenda preparation, and coordination of anticipated changes
- Proactively arranging equipment, location, meals, etc. for meetings and events
- CB representative to be the Office building liaison for all building updates and inquiries
- Ad hoc duties as assigned to support functions of various departments
Qualifications:
- An undergraduate degree or diploma preferred, or an equivalent combination of education and experience.
- 12 years of experience in administrative work
Competencies:
- Excellent oral and written communication skills.
- Must be detail oriented, organized, able to multitask, and keep thorough and accurate records.
- Excellent interpersonal skills, including the ability to create and maintain good working relationships.
- Intermediate computer skills. Proficiency in Microsoft Office(Outlook, Excel, Word), Google Suite and Adobe (PDF).
- Proven record of taking responsibility and using good judgment, including exercise of discretion and confidentiality.
- Adaptable and flexible with a demonstrated ability to take initiative.
- Selfstarter with a positive attitude who is comfortable working independently and with a team.
Working Conditions:
This is a permanent, full-time position.
At the end of the probationary period, the employee may be assigned further tasks based on availability and job performance.
