Liebherr Canada is looking for a detail-oriented, team player to join our Burlington Branch


Join a fast-paced, dynamic environment as a part of an administration team that is crucial to Liebherr Canada's growth ahead.


The Service Administrator will be responsible for supporting the Earth Moving Service department in all administrative aspects including but not limited to: work orders, time entry, report entry, purchase orders, vendor invoice processing, invoicing and inventory.


Responsibilities:


  • Assist the Service Manager and Supervisors with the preparation of customer quotations, warranty claims, invoice prep, opening work orders and overall work order administration
  • Complete the work order process including their opening, closing and maintaining to insure accurate and timely invoicing (includes adding labor, parts, sublets, lubricants, shop supplies, core credits, etc.)
  • Clarify and revise technician service reports as needed before they are entered into the system
  • Perform LiDAT system maintenance and updates
  • Update LISA system with Service Checks and history of all machines while under warranty
  • Maintain and continue to update the Machine File for all new units
  • Liaise with customers for PO's and to provide repair updates and timelines
  • Prepare PO's for vendors and followup on deliveries
  • Assist with arranging equipment shipping and transport
  • Oversee MARC/PM spreadsheet and monthly invoicing in accordance with contract requirements
  • Work in conjunction with the Warranty department to support customer warranty and claims issues
  • Liaise with Parts regarding requirements for specific jobs, ordering, shipping, etc.
  • Maintain effective, accurate reporting, data management and record keeping
  • Assist and backfill for other service personnel in their absence
  • Other duties as assigned

Competencies:


  • Previous experience in administration or data entry Heavy equipment industry, construction or distributor environment is strongly preferred
  • Strong coordination and administrative skills
  • Attention to detail and superior organizational skills
  • Experience with purchase order processing is an asset
  • Strong computer skills; MS Office proficiency
  • Related software including service reporting /time entry, invoicing, use of parts catalogue and electronic inventory systems
  • Eager, positive and a teamoriented approach is a must
