Position summary


The AIMG Coordinator will provide day-to-day administration of the family medicine AIMG residents, as well as overseeing the administration of resident support, recruitment and faculty development for CaRMS.

The AIMG Coordinator is also responsible for tasks and administration related to the education programs in the Department of Family Medicine under the direction of the Residency Program Team Lead and the two AIMG program lead physicians.

The AIMG Coordinator works both independently and within a team environment to administer the many detailed and complex tasks and projects required of this position.

Under mínimal supervision, this position requires a high level of communication, interpersonal, decision-making, and proactive capabilities. Of equal importance is the ability to take initiative, multi-task and problem solve within an intricate and fast-paced environment. Accuracy and attention to detail is of great importance as the tasks required may relate to the trainee's future.

Also important is their ability to understand the needs of the interrelated educational, financial, departmental and regulatory association components of a fellowship training program.


Duties

AIMG Responsibilities

  • Provides administrative support to the AIMG program and their leads.
  • Provides appropriate guidance to fellows on administrative processes and form completion, including form completion for the AIMG program, departmental and postgraduate medical graduate education office requirements.
  • Functions as first liaison at various levels within and outside the institution with AIMG, University of Calgary, community preceptors and the postgrad medical education office.
  • Develops standards of practice (SOP) if not already in place to facilitate autonomous work.
  • Generates most of the correspondence from the program for existing trainees, prospective applicants and education offices/attaches.
  • Maintains confidential and complete trainee files via webbased system and electronic files.
  • Proactively reviews documents and procedures systematically with flagged documents requiring review/action brought to the individual Fellowship Director's attention or to the Department of Pediatrics, Director of Fellowships as required.
  • Works with the Residency Program Director, Family Medicine Selection Director and AIMG lead physicians to maintain flowsheet to be accurate and up to date.
  • Coordinate CaRMS task force as well as all marketing for the family medicine program.
  • Scheduling:
  • Assists with the creation of and updates to the externship schedule with necessary changes throughout the year. Ensures rotations are linked with the appropriate online evaluation and preceptor designate.
  • Evaluation Process:
  • Compiles evaluation data from all sources of evaluation and coordinates quarterly meetings with each fellow and program director.
