Position Description:

Temporary assignment - approximately 12 weeks

***: This position supports the activities of the Nurse Manager as they relate to the day-to-day operations of General Internal Medicines. Operational details and unit activities are coordinated to ensure things run smoothly and in accordance with the policies and procedures of the hospital.


QUALIFICATIONS:


  • Postsecondary diploma/certificate in medical office administration.
  • 3years' experience providing administrative support in a fastpaced hospital program setting.
  • Medical terminology certificate
  • Certification of ongoing computer training
  • Intermediate skill level in MSWord, basic skill in MSExcel, and excellence in medical spelling.
  • Clerical testing may be required as part of the selection process.
  • Experience working with hospital patient processing systems and staff scheduling systems.
  • Accurate keyboarding skills with a minimum typing speed of 50 wpm.
  • Ability to communicate effectively and tactfully, both in person and by telephone.
  • Maintain excellent interpersonal relationships while handling multiple tasks, frequent interruptions and stressful situations.
  • Good organization skills, with ability to set own priorities and work with mínimal supervision.
  • Excellent work performance and attendance record is essential.

RESPONSIBILITIES:


  • Maintains confidentiality and release of information in accordance with hospital policy
  • Obligation to review and commit to applicable departmental and hospital policies
  • Strong understanding of the geriatric population and available internal and external support structures.

  • Strong interpersonal and communication skills.
  • Maintains schedules/staffing for General Internal Medicine units and IMRAC
  • Maintains effective internal and external communications through the sharing and timely dissemination of information.
  • Contributes to continuous quality improvement initiatives on a regular basis, including, but not limited to project participation, data collection and data management.
  • Coordinates and schedules interviews and conducts reference checks.
  • Supports the activities of a number of departmental and committee meetings i.e. coordinates booking schedules, attends meetings, records and transcribes minutes and distributes agenda items/minutes.
  • Assists in facilitating nonclerical support for unit (e.g. clerical supplies, building services).
  • Meets deadlines in assisting with special projects, surveys, preparing a variety of reports, presentations, and arranging ad hoc meetings.
  • Researches the cost, specification and possible alternatives for specialty supplies and equipment purchased for the unit and liaises with Strategic Sourcing, material management and responsible for HEMM processes.
  • Maintains a number of financial processes within the program including reconciliation of charges for patient care services such as agency use, patient transfer, interpreters, bed rentals, etc.
  • Schedules administrative appointments and maintains the electronic calendar on a daily basis.
  • Supplies program information and / or direction for unit activities to staff, patients, and visitors.
  • Performs other duties as assigned by the GIM Managers

WAGE RATE:

$ $ $29.72 (plus 14% in lieu)
