We are looking for a
Legal Assistant to join our
Trademark department.

In this role, you will be responsible for providing clerical, administrative and general office duties to meet the needs of the firm and clients.


Responsibilities:


  • Coordinates legal professional month end billing, responsible for docket entry, generating and editing prebills and preparing invoices for client distribution;
  • Prepares cheque requisitions and process amounts when appropriate;
  • Initiating and conducting preliminary trademark searches and intellectual property due diligence searches;
  • Maintains and updates trademark docketing system (PATTSY);
  • Manages file opening process, including gathering and researching information for client intake process;
  • Administering reminders for renewal of registrations, renewing registrations; and reporting issuance of renewal certificate;
  • Works with all practice specific legal documents and templates including Certificate of Registrations, Certificate of Renewals and Registration Fees;
  • Reviews trademark correspondence received from the Canadian Intellectual Property Office and any other foreign associates (including, but not limited to, approval notices, advertisements, confirmations of change of name/title, etc.);
  • Coordinate work with other Legal Assistants and support services to ensure required actions are completed in a timely manner and appropriate support is provided to the legal practices they are supporting;
  • Provide assistance to others during absences as needed; and
  • Other duties as assigned.

Requirements:


  • Must be enrolled or have completed a Postsecondary education with a focus on legal administration or equivalent
  • Trademark experience an asset
  • Excellent knowledge of PATTSY, MS Office Suite including: Outlook and Word;
  • Ability to organize, multitask, and prioritize appropriately;
  • Discretion, confidentiality and attention to detail are essential
  • A team player who takes initiative and works well independently
  • Excellent written & verbal communication skills
  • Demonstrates excellent client service and ability to anticipate client needs
