Administrative Assistant

Redevelopment Office

Position Description
You will represent the Redevelopment Team to staff, clients, visitors and the public, and be responsible to:

  • maintain the senior leadership team's schedules (3)
- provide assistance, prepare documentation and gather information on a wide range of confidential organizational, employee, and program related projects and issues
- respond to inquiries, concerns and messages on behalf of senior leadership and coordinate communications to relevant stakeholders
- plan, schedule, organize meetings requested by redevelopment and facilities planning team members including meeting venue, catering, room set-up, and equipment needs
- manage RO meeting room bookings
- prepare agendas, distribute meeting materials, attend meetings and take meeting minutes
- compose and edit correspondence & presentations
- organize and maintain paper and electronic files including uploads/ downloads to/ from eBuilder
- process and track invoices and expense claims, monitor budgets and assist with the development of annual submissions/ supports
- coordinate assembly of procurement documents, project requests/ variations
- provide support with confidential human resource activities including recruitment, on boarding, staffing changes, off boarding
- book travel arrangements
- order office supplies and other general office support as required

In addition, you will provide support to special projects and other administration support as assigned. You will support a workplace that embraces diversity, encourages teamwork and complies with all applicable standards and requirements. This position is currently located at 1001 Queen Street West.


Qualifications

  • Post-Secondary Certificate or Diploma in Office Administration or a related discipline (Bachelor's degree is preferred) and 510 years of relevant senior secretarial / administrative experience, advanced knowledge of office administration practices/ corporate protocol. An equivalent combination of postsecondary business training and experience will be considered.
  • Experience within a healthcare and academic setting and/ or experience with the design/ construction environment is preferred
  • Superior interpersonal, organizational, time management, problemsolving skills, particularly while dealing with conflicting priorities and deadlines, with mínimal supervision.
  • Ability to multitask under pressure, and coordinate multiple projects successfully to tight deadlines, with strong attention to detail and accuracy
  • Strong writing and editing skills, including the ability to proofread documents, draft agendas, write meeting summaries and develop presentations for both internal and external audiences
  • Strong customer skills
  • Demonstrated confidentiality, tact and discretion in in preparing, disclosing and handling information of a confidential and sensitive nature is required.
  • Demonstrated initiative, independent judgment and communication skills
