Under the supervision of the Executive Assistant to the Dean of Campus Saint-Jean, the Receptionist is the front-line first point-of-contact for all inquiries and visitors to the Dean's Office.

The incumbent(s) perform(s) a variety of administrative duties to assist with the daily operations of the Dean's Administrative Area, and is primary back-up to the Executive Assistant to the Dean.

RESPONSIBILITIES

  • Opens and closes reception in accordance with University's business hours.
  • Reviews telecom reports, updates and maintains telecommunications database, requests telephone service.
  • Monitors and maintains mail, workroom, and meeting rooms' readiness. Allocates mailbox space; provides mail services for Campus Saint-Jean staff and faculty.
  • Collect, retain and deposit key deposits.
  • Orders and maintains inventory of office supplies.
  • Maintain internal staff directories and signage throughout the campus.
  • Ensures proper functioning of office equipment, including photocopier, printer, fax, phones and deals with service requests when required.
  • Assists with preparing letters and packages for mailing and courier requests.
  • Coordinate the unlocking and locking schedules of building and/or room doors on the CSJ through card access and scheduled access software.
  • Maintain uptodate card access for staff and students.
  • Other duties as required, including providing coverage and assistance to coworkers in other areas of the Office of the Dean.

QUALIFICATIONS

  • Minimum of two years of postsecondary education required. Undergraduate degree or diploma from a college or technical institute is an asset;
  • Fluency in oral and written French is essential and working knowledge of English;
  • Minimum of 2 years of experience providing administrative support in a large organization;
  • Excellent organizational, communication and interpersonal skills;
  • Excellent editing/proofreading skills; accuracy and attention to detail;
  • Advanced working knowledge and proficiency in a Windows environment and Microsoft Office;
  • Advanced working knowledge and experience with Google Mail and Google Apps suite;
  • Ability to work independently and within a jobshare/team environment;
  • Comfortable with office equipment and related technology, databases, etc.

  • Allouer l'espace des boîtes aux lettres ; fournir des services de courrier au personnel et aux professeurs du Campus Saint-Jean.
  • Recueillir, conserver et déposer les dépôts de clés.
  • Commander et maintenir l'inventaire des fournitures de bureau.
