We are currently seeking an:


Executive HR Administration Specialist

Permanent Full-time (hybrid remote work - 2 days in office)

What will be the role?


The Executive HR Administration Specialist (EA) provides project and administrative support to the Vice President, Human Resources & Organizational Development and general HR support as required.

The EA works within a continuous quality improvement framework which reflects VHA Home HealthCare's vision, mission and core beliefs that contribute to providing spectacular care to the clients and families we serve.

The EA promotes and maintains good internal relations with VHA staff, service providers, volunteers, and students, as well as external relations with clients, partners and vendors.

In this role, you will be responsible for supporting operational effectiveness through ensuring sustainable administrative processes, which will include, but not limited to, organizing schedules, coordinating completion of key departmental activities and document management and liaison on behalf of the VP with external partners and stakeholders.

You will prepare, coordinate, and support key meetings, events, action tracking and following up with relevant parties where necessary.

The incumbent maintains calendars, maintains files and department expense reports, prepares and compiles correspondence, agendas, briefs, reports and analysis where required.

You will also provide administrative support to a range of HR programs and VHA's educational activities including both in-person, virtual, e-learning and WorkSmart.

You will use discretion when dealing with confidential information.

Required Qualifications:


  • Threeyear diploma or degree from a recognized postsecondary institution in Human Resources Management and/or Business or equivalent. Preference for a degree.
  • Solid understanding of Human Resources, ideally with 35 years of relevant experience.
  • Ability to learn quickly and deal with competing activities/tasks with changing priorities in a fastpaced environment.
  • Excellent time management and organization skills and demonstrated ability to work both independently and as a team member.
  • Strong interpersonal skills, diplomacy, collaborative attitude, and sound judgment.
  • Demonstrated commitment to providing great customer service staff/service providers and external stakeholders.
  • Strong verbal and written communication skills.
  • Experience in creating compelling presentations and data visualizations.
  • High level of integrity, confidentiality, and accountability.
  • Excellent keyboarding skills (minimum of 80 wpm with 2% error).
  • High level of proficiency in Microsoft Office programs, Word, Excel, PowerPoint, Outlook.
  • Ability to work in a fastpaced environment with multiple and competing priorities.
  • Good analytical skills and ability to deal with inquiries within the scope of this position.
  • Demonstrate efforts to continuously develop and upgrade skills.
Satisfactory completion of technical skills testing will be required.
