If you answered yes to the above, you may be interested in this opportunity as an Executive Assistant in an Assistant Deputy Minister's office.


Duties include:

  • Ensuring all administrative processes, policies and practices are developed and maintained to support the business needs.
  • Supporting the ADM and the Issues Manager to develop and maintain ADMO administrative operations.
  • Providing leadership to administrative team members.
  • Coordination of calendars and scheduling, including screening and responding to meeting requests, making arrangements for meetings and preparation of background materials for daily meetings.
  • Maintaining records.
  • Preparing and coordinating travel arrangements as needed.
  • Ensuring review of all incoming correspondence and identification of priority items.
  • Managing the main incoming phone line.
  • Preparing, reconciling and reviewing financial reports, invoices and approval forms for completeness, accuracy, and appropriate signatures.
  • Maintaining divisional SharePoint site.

Qualifications:

This position requires a High School Diploma and five years related work experience. You are required to have advanced experience with Microsoft office - Word, PowerPoint, Excel, Outlook, SharePoint, Teams, etc. and excellent written and oral communication skills.


Following are the specific requirements:


  • Experience with overall coordination of calendars and scheduling.
  • Experience working in a complex, fast paced environment.
  • Experience managing the administrative day to day operations of an office.
  • Experience creating administrative and business processes.
  • Excellent communication and problemsolving skills.
  • Experience with financial tracking and reconciliation.
Equivalency: 1 year education for 1 year experience or 1 year experience for 1 year education.
