Lease Documentation Specialist, Commercial to support our growing team


What will you be doing?
You will report directly to the Commercial Property Manager as an integral part of our commercial real estate team. You will be the main point of contact for our 200+ commercial tenants.

Your attention to detail, experience in leasing, excellent communication skills and ability to multitask will serve you well in this role.

What experience will you bring to the role?


You have well-rounded experience when it comes to maintaining effective communication, liaising between tenants, operations, and accounting to ensure deadlines are met in a seamless and timely approach.

You are an effective multitasker when it comes to preparing and reviewing leases, A/R reports, assisting in resolving tenant issues, processing invoices, and responding to day-to-day tenant inquiries.

You are an expert when it comes to navigating the details of lease agreements and are highly proficient with Yardi Property Management Software.

Lastly, you are a people-person; you know how to be a team player and work extremely well with others.


Kay Accountabilities:

The primary duties and responsibilities of the Lease Documentation Specialist, Commercial Division are as follows:

  • Responsible for negotiating and finalizing new lease deals from start to finish, including managing contact with the brokers, showing space, drafting offers, amending agreements, renewals and extensions, consents to assign and sublease, signage and other approval correspondence, and updating lease information and prospective new tenants.
  • Prepare a precedent library with leasing documentation.
  • Actively and frequently following up to ensure all existing tenants and prospective tenants sign leasing agreements in a timely manner (not less than 6 months prior to expiry/vacancy).
  • Actively and aggressively minimize the number of vacancies across all properties.
  • Prospecting for new tenants by contacting and liaising with brokers and retailers.
  • Building the company brand through collegial relationships with a network of names.
  • Actively fielding enquiries to transforming leads into offers to lease.
  • Proposing net rates and preparing NER calculations for management to approve.
  • Together with construction and property management, preparing pricing and scopes of work for landlord and tenant needs in new and existing retail space.
  • At the appropriate time, liaising with the construction department on landlord's work and tenant improvements.
  • Liaise with property management upon vacancy to obtain updated area certificates.
  • Actively finding new and alternative revenue sources through telecommunications, paid parking and other opportunities.
  • Fluency and ease of use of excel and Yardi to prepare leasing reports.
  • Understanding of how to prepare financial summaries for prospective deal economics/terms.
  • Make recommendations to management for property improvement, maximizing revenue and reducing costs.
  • Making recommendations for signage, getting quotes.
  • Working with marketing team on signage at the corporate level, with a focus on commercial properties.
  • Attending industry events as required.
  • Working with marketing team to ensure website updates reflect new and upcoming vacancies and other changes to the site plans, if any.
  • Assisting marketing team with creation of updated marketing brochures.
  • Bringing new opportunities to management of retail, office and industrial (or vacant) properties for sale, especially "off market" opportunities.
  • Proposing new and innovative ways to attract and retain quality tenancies.
  • Diarize all critical dates for all new and existing deals.
  • Diarize all deliverables by landlord and tenant and ensure that same are delivered on time and accurately.
  • Ensure that G drive is up to date, organized and easy to navigate; ensure that all G drive documentation uses approved and consistent naming.
  • Sending information to brokers and users on future development sites, assisting in responding to RFP's.
  • Outreach to and extensive networking with the broker community to develop leads and prospects for existing and new sites.
  • On an ongoing basis, ensure that all budget and reconciliation numbers are market and liaise with property management to ensure that they are delivered to tenants in a timely fashion; respond to tenants with any questions relating to same.
  • Attend commercial meetings and assist on collections and tenant enquiry.
  • Completing a variety of oneoff tasks which may require research and reaching out to various individuals and organizations, and
  • Ensure that all numbers and calculations in leasing documentation
