PWO Canada is a Tier 1 and Tier 2 supplier for auto manufacturers globally. We are one of five subsidiaries in the PWO AG Group, manufacturing lightweight metal components for the automotive industry.


PURPOSE OF POSITION


The purpose of the Accounts Payable and Receptionist position is to collect, verify, accurately match and record vendors' invoices and other appropriate documentation, as well as acting as the initial contact for all visitors to PWO Canada Inc.

The incumbent would ensure proper entry of vendor invoices and assist in other accounting duties as required.


NATURE AND SCOPE OF POSITION
The position will problem solve with managers, vendors, purchasing and logistics when documentation clarification is required. The incumbent must be able to prioritize and organize work, especially at month and year-ends. External contacts may include vendors and financial auditors. Major challenges include finding information that is the responsibility of other departments (i.e. Quality Services, Maintenance, Logistics, Shipping and Receiving). Decisions made by the position impact the department in the short term.


QUALIFICATIONS

Education:

High School Diploma. A post secondary education in Business Administration and/or bookkeeping courses is preferred.


Communication Skills:
Strong oral and written communication skills are required for normal business and technical communication.


RESPONSIBILITIES

  • Files received packing slips for future matching.
  • Matches incoming invoices to packing slips.
  • Books invoices in SAP Invoice Cockpit system.
  • Ensures assigned accounts and cost centers are correct.
  • Files invoices for preparation of payment.
  • Rectifies price differences and quantity discrepancies found between packing slips and invoices.
  • Mails payment cheques to vendors, and files payables records.
  • Greets all visitors, suppliers, and customers in a friendly, welcoming and professional manner.
  • Answers all incoming calls and forwards to the appropriate position.
  • Maintains visitor signin system.
  • Provides administrative support to all Supervisors, Managers and the CFO. Types and proofreads correspondence, schedules and tracks appointments.
  • Tracks availability of meeting rooms. Organizes meetings when required, including catering.
  • Ensures meeting rooms are kept clean and neat.
  • Receives, sorts and distributes mail. Sends courier mail and small packages.
  • Checks inventory of supply room and kitchen, and orders supplies as needed. Orders miscellaneous office products as requested.
  • Performs work in a conscientious, accurate, businesslike and courteous manner.
  • Efficient use of electronic data collection software.
  • Performs all duties within the 5S standards.
  • Follows and performs to the processes and instructions outlined in the Process House that are applicable to the department.
  • Compliance to all company HR policies and procedures.
  • Responsible for working safely, complying with safety policies and procedures, and wearing personal protective equipment (PPE) required in the designated areas as per company policy.
  • Responsible for working safely and keeping a safe work area for themselves and fellow employees. Reporting any unsafe working conditions, practices, and workrelated injuries immediately to his/her Manager.
  • Any other jobrelated duties characteristic to the position, as may be assigned from time to time by the Manager and management team.
