Reporting to - Customer Service Manager

We are currently seeking a dynamic and customer-focused administrative professional to join our team in the role of Office Administrator The office administrator performs a wide variety of tasks in their daily work, including standard clerical duties such as answering incoming inquiries, managing appointment calendars, and filing.
In addition, the office administrator may need to purchase supplies, process incoming and outgoing mail, compose and send correspondence, oversee the maintenance and operation of office equipment, conduct sales transactions and work with premises security to ensure the safety of employees and clients.
Duties Include:
- Welcoming visitors at reception and directing them to the relevant office/personnel.
- Coordinating and managing appointments, meetings, and the conference room schedule to prevent duplicate bookings.
- Sorting and distributing mail.
- Maintaining general office files including job files, vendor files, and other files related to the company's operations.
- Purchasing office supplies.
- Assisting colleagues with administrative tasks.
- Maintaining Operations Department Sync Files
- Working with the Joint Health and Safety Committee to keep records of meeting minutes and trainings.
- Assisting with the processing of Interac payments
- Assisting Finance team with order and credit management tasks.
- Cross training with the customer service team to assist in order entry and order management functions.
- Supply chain support duties as they become available.
- Working with VP of Operations to complete monthly Freight review.
- Providing backup support to warehouse operations.
- Performing adhoc administrative duties.
- Providing exceptional customer service.
- Performing other relevant duties when needed.
Knowledge & Skills Required
- College diploma in office administration or related field.
- 2 or more years' office administration experience.
- Consistent, professional dress and manner.
- Excellent written and verbal communication skills.
- Good time management skills.
- Experience with administrative and clerical procedures.
- Able to contribute positively as part of a team, helping with various tasks as required.
- Comfortable handling confidential information.
- Multitasking and timemanagement skills, with the ability to prioritize tasks.
