Job Summary

The Project Coordinator will work with and provide support to the project team, tracking progress, managing communications, conducting analyses, and other associated project tasks


This position actively champions, fosters and ensures the inclusion of voices that have been underrepresented or discouraged in the work they perform.

Organizational Status

The Project Coordinator, Web Projects is a member of the Student Communications Services (SCS) team. This position reports to the Senior Manager, Student Communications. An integral member of the Student Communications Services Team, works in close collaboration with SCS, VPSO, and ES teams.

Work Performed


Project Coordination and Planning:

  • Facilitates and encourages Agile practices including daily standups, sprint planning, sprint reviews, and retrospectives.
  • Documents decisions and actions from these meetings and ensures followup.
  • Conducts analysis and research. Gathers information from stakeholders and a variety of other sources, refines and documents project requirements and analyzes business needs.
  • Develops comprehensive project plans and proposals.
  • Develops project communication materials and other communication initiatives; coordinates dissemination of information, promotional materials, newsletter and other publications as necessary.
  • Plans and participates in stakeholder meetings as well as project team meetings, documents decisions from the meetings and follows up on actions.
  • Responsible for updating and ensuring the accuracy and completeness of project documentation and shared project workspaces, Confluence, Jira and Airtable.
  • Researches and participates in the development of documentation including project charters, project plans, scope documents, and requirements documentation. Develops project schedules and timelines.
  • Monitor project progress and handle any issues that arise; act as the point of contact and communicate project status to all participants; work with the project lead to evaluate and implement risk mitigation strategies as well as solutions.
  • Identifies goals, opportunities and deliverables for prospective projects in collaboration with the project lead, the project team and relevant stakeholders.
  • Assists in the preparation of budget estimates and staffing requirements for project plans.
  • Compiles information for the development of schedules and timelines.

Communications and Administration:

  • Develops positive and productive working relationships with stakeholders and manages daytoday communications with stakeholders, responding to concerns related to project schedule, processes, and general project queries.
  • Responsible for reporting on the scope, schedule, resources, metrics and financial status of the project as it pertains to the business feasibility study.
  • Maintains project documentation including meeting agendas, project backlogs and deliverables, and notifies Project Lead of variances from project plan.
  • Works with project managers to establish work breakdown structure and project plans for specific projects.
  • Works with team members cross functional team members (within Student Communications Services and other departments).
  • Provides orientation and work direction to project team members as assigned.
  • May coordinate some activities as directed by the Project Lead.
Consequence of Error/Judgement


This position represents the VPSO, ES, and the University as a whole, and is required to exercise professional judgment, collegiality, and initiative while undertaking all responsibilities and developing relationships and partnerships.
