Working for the School of Dentistry


The School of Dentistry has been at the University of Alberta since 1917 and is part of the Faculty of Medicine and Dentistry and the College of Health Sciences.

The school serves an integral role in educating a part of the healthcare workforce in Alberta and beyond.


The school offers undergraduate programs in Dentistry, Dental Hygiene and Dental Assisting and graduate programs in Dentistry, Dental Hygiene, Oral Biology, Oral Medicine, Orthodontics and Periodontology.


There are 24 Faculty, 42 Academic Teaching Staff (ATS), and 115 Excluded Academic staff, that are supported by the Student & Academic Services unit and working towards fulfilling our mission of improving the health of the people of Alberta and beyond through leadership in oral/maxillofacial health care, education, research/scholarship and providing service that is responsive to social need.


Position


The Student and Academic Services Assistant (SAS) - Year 3-4 plays a pivotal role in supporting and maintaining the DDS academic program within the School of Dentistry.

Under the direction of the Manager, Curriculum & Programs, the SAS Assistant Year 3-4 requires strong initiative, interpersonal and communications skills and the ability to multi-task in a complex clinical education environment.


This position works both independently and in a team environment to support and administer the many detailed and complex tasks associated with the DDS program.

The Assistant supports the preparation of educational course materials, enters and maintains data in various curriculum management systems, schedules rooms, coordinates examinations, distributes materials and responds to or redirects incoming correspondence/inquiries from students, academic and support staff.

A critical function of the role is to facilitate the student absence process to ensure all absences meet appropriate School guidelines and regulations and are approved or denied by the Associate Chair, DDS Clinical Education.

This position also is responsible for the administrative support for the School of Dentistry Associate Chair, DDS Clinical Education.


Duties

  • Provide administrative support to Course Directors for Year 3 and Year 4 of the DDS program.
  • Support the development of the academic schedule.
  • Submit requests for classrooms and seminar rooms though the University's Exam and Timetabling process.
  • Support and troubleshoot the use of Zoom and other technology to support learning and examinations.
  • Assist with the examination schedules, entering data into master exam schedule, and working within the examination software to coordinate computerbased examinations, proctoring and troubleshooting.
  • Build course components in the learning management system as per the methods of assessment.
  • Maintain database of student grades and data compiled as required to assist Curriculum Quality Assurance Coordinator.
  • Assist with uploads and updates to course material and vodcasts for students and instructors.
  • Assist Faculty/Instructors with uploading educational materials including PowerPoint presentations and PDFs.
  • Provide administrative support to the School of Dentistry's Associate Chair, Clinical.
  • Administer, coordinate, and track information items and correspondence on matters related to Student and Academic Services unit.
  • Prioritize, organize, respond to or redirect incoming correspondence/inquiries from students (including absences), and academic and support staff.
