The Niagara Falls Bridge Commission (NFBC) owns and operates the Rainbow Bridge, Whirlpool Rapids (Lower) and Lewiston-Queenston Bridges.

Our mission is to build, maintain and operate lower Niagara River border crossings to facilitate commerce and the movement of goods and people in a safe and efficient manner.

Reporting to the Executive Assistant to the CEO, the Administrative Assistant performs a wide variety of administrative duties.

The Administrative Assistant's main focus will be within the following functional areas:
construction project administration, general office administration and customer service.


REQUIREMENTS:


  • Post-Secondary education focusing on office administration or equivalent knowledge and experience.
  • One to two years proven knowledge and experience in office environment preferred.
  • Advanced communication skills (verbal and written).
  • Sound organization skills including strong attention to detail.
  • High professional standards and ethics.
  • Must have a valid driver's license.
  • Must be able to travel across the United States/Canadian International Border.

ESSENTIAL DUTIES AND RESPONSIBILITIES

CONSTRUCTION ADMINISTRATION

  • Monitors insurance certificates on file and ensures they are current.
  • Oversees the contractor prequalification process.
  • Process approval letters, contracts, change orders, and request for qualification advertisements.
  • Reviews invoices for accuracy prior to processing.
  • Establishes and maintains a wide variety of construction department records and files.
  • Coordinates contractor vetting process.

OFFICE ADMINISTRATION

  • Performs a variety of administrative support activities such as process incoming mail, log cheques, order office supplies, mail weekly accounts payable checks and prepare incoming/outgoing shipments.
  • Monitors and distributes news articles related to the Niagara Falls Bridge Commission and other border related topics.
  • Processes online vendor registration requests.
  • Coordinates meeting room use and catering requirements.
  • Assembles and distributes a variety of documents, manuals and materials, i.e. corporate policies.
  • Establishes and maintains a wide variety of records and files related to Commission operations and activities, including board related materials.
  • Performs administrative duties related to the donation program.
  • Assists operations department with budget preparation, purchase order process and accounting documentation requirements.

CUSTOMER SERVICE

  • Greets visitors in a timely and friendly manner.
  • Field Nexus Toll / Express Pass inquiries and process refunds.
  • Maintains and follows up on customer inquiries ensuring a timely response.
