Job Summary

Reporting to the Controller, Facilities and Environmental Support Services (FESS), the successful applicant will coordinate the effective secretarial and administrative assistance functions to ensure the efficient operation of the office.


Key Responsibilities

Responsibilities will include:

typing/word processing; compiling background and statistical information and coordinating materials for meetings; maintaining and analyzing data base for custodial or maintenance staffing or budgets, utilities consumption, departmental clerical support as required, back-up support for Planning and Accommodation Services including preparation of Physical Planning and Building Committee agendas and reports, communication by phone or in person responding to questions covered by Board policy, operating procedures or precedent, monitors budget, processing of invoices, processes personnel/payroll documents for staff; coordination and scheduling of required meetings, taking minutes of meetings, responds to high volume of parent and community enquiries or concerns regarding items related to our schools and the areas of the Facilities and Environmental Support Services various departments, other duties as assigned.

The successful applicant will work at the above location from 8:30 a.m. to 4:30 p.m. or as assigned.


Qualifications

  • Grade 12 education in addition to several years of related experience in progressively responsible positions
  • Excellent communication skills both written and verbal
  • Ability to maintain confidentiality and deal with matters of an extremely sensitive nature
  • Superb problem solving and interpersonal skills to interact with all stakeholders
  • Working knowledge of the PDSB Financial and Budget processes
  • Solid analytical and research skills with demonstrated attention to detail
  • Demonstrated leadership, initiative, organization, planning and multitasking skills
  • Ability to work within a team and with limited supervision
  • Ability to work independently and meet timelines
  • Understanding of Board policies, practices and procedures
  • Excellent notetaking abilities and proofreading skills
  • Familiarity with daytoday operations and procedures within the areas of Operations Support Services departments
  • Demonstrated commitment to working in a diverse school community and/or work environment

Additional Skills & Assets

  • Postsecondary education in business or office administration
  • Budget experience
  • Additional computer software skills in Google Suite, SharePoint, SPARC, etc.
  • Familiarity with daytoday operations and procedures in schools K12 including field offices
