KEY RESPONSIBILITIES

  • Provide administrative support to the COO & CFO as well as other senior leaders, including managing correspondence, calendar, travel arrangements, and monthly expense reports.
  • Act as a key liaison between the executive team and internal/external stakeholders, ensuring timely and accurate communication.
  • Prepare and edit professional documents, including correspondence, presentations, and reports, with meticulous attention to detail.
  • Coordinate internal announcements and meetings, handling materials distribution and logístical arrangements.
  • Plan and coordinate executivelevel meetings, ensuring efficient agendas and distributing accurate meeting minutes and materials.
  • Assist in financial reporting, budget tracking, and expense management in compliance with company policies.
  • Organize and coordinate both onsite and offsite team events, meetings, and conferences.
  • Conduct research and gather information to support decisionmaking and strategic initiatives.
  • Develop and maintain filing systems, respecting deadlines and ensuring accurate recordkeeping.
  • Handle confidential records and sensitive information with the utmost discretion and professionalism.
  • Represent Triovest positively through excellent followup skills and sound judgment.
  • Collaborate with the executive support team to streamline processes and enhance organizational efficiency.
  • Manage general office duties, including reception coverage, file management, and maintaining an organized workspace.

QUALIFICATIONS & ATTRIBUTES

  • Minimum 3+ years of executivelevel administrative experience in a professional services environment.
  • Experience in Commercial Real Estate is considered an asset.
  • Proficiency in Microsoft Office and familiarity with software such as DocuSign and PDF Docs.
  • Adaptive to changing technology in a continuous learning environment.
  • Exceptional organizational skills with a proven ability to drive tasks forward and achieve results.
  • Meticulous attention to detail, ensuring accuracy in all aspects of work.
  • Proactive, solutionoriented mindset with sound judgment and resourcefulness in problemsolving.
  • Demonstrated discretion in handling confidential information and maintaining confidential communication.
  • Strong interpersonal skills, fostering a collaborative approach and cultivating relationships with colleagues at all levels of the organization.
  • Flexibility to adapt to changing priorities, willingness to go above and beyond to meet deadlines, and support the objectives of the COO & CFO.
  • Available before and after regular business hours, as dictated by the needs of the executive for projects and meetings.
