Exams Analyst:

This position falls under Registrarial Services which is a central administrative unit within TLSE consisting of 8 separate areas of responsibility (e.g. tuition assessment, registration, convocation) for which we support all college and units across campus.


Primary Purpose:

Reporting to the Director and Associate Registrar (Academic), this position acts as functional analyst for all central university exam activities, creating the university final exam schedule, and assisting the Sr Coordinator with convocation.

This position also supports the University Registrar's Office and its reporting units with budget, HR, and financial management processes, including the exam proctor hiring and scheduling process.

Lastly, providing support and back-up for student academic history records and transcript generation through MyCreds.


Nature of Work:

Registrarial Services requires an analyst to examine usage patterns, make recommendations, and assist the Sr Coordinator in creating an efficient exam schedule using specialized software (Infosilem); gathering information from faculty and staff before scheduling, ensuring adherence to guidelines, and communicating with facilities to oversee set-up and take-down of exam rooms.

This position also supports convocation and assists the Sr Coordinator in ensuring accuracy of academic history and graduation records, parchment production, and set-up and take-down of the convocation ceremony.

Lastly, supporting the Director and the University Registrar's Office, ensuring the smooth flow and approval of HR and budgetary activities may be periodically assigned.


Accountabilities:

Exam Scheduling (40%)

  • Responsible for creating the academic final examination schedule six times a year
  • Reviewing and analyzing processes to streamline all examinations under Registrarial Services (academic, deferred, supplemental, and third party examinations)
  • Act as functional administrator for the university exam scheduling software (Infosilem)
  • Liaise and assist the IT team in managing Infosilem including testing and maintaining the software for software upgrades
  • Update all exam internal databases and filing systems
  • Gather information from academic and administrative staff when collecting exam data for scheduling
  • Assist with booking and invigilating thirdparty exams from other institutions, associations, or accreditation bodies
  • Operational oversight of the university deferred, third party and supplemental exams
  • Website editing for examinations (and others) requiring good communication skills
Convocation (30%)

  • Assist the Sr Coordinator in organizing the convocation ceremony, including parchment production and distribution
  • Attending all convocation ceremonies and assisting with setup and takedown
Financial/Budgetary/HR (20%)

  • Support Registrarial Services with HR requirements including hiring, processing EJS, and assisting with onboarding and off boarding of staff
  • Oversee the creation of monthly/yearly budgetary documents for units under the University Registrar's Office
  • Aid the University Registrar's Office in reconciling and reporting on all budgetary activities
  • Assist the TLSE Service Team with PCard invoicing and reconciliation
  • Triage invoices for TLSE Service Team. Maintaining an updated list of contacts and following up with contacts to ensure timely payment of invoices.
Academic History and MyCreds (10%)

  • Provide troubleshooting support and backup to the MyCreds clerical position.
  • Assist with communications for students and alumni when accessing MyCreds and delivery of digital transcripts
  • Assist with the verification of student academic records and digital transcript production
  • Ensure the fidelity of academic history on the transcript
  • Support the Sr Coordinator in organizing MyCreds staff

Qualifications

Education:
The position requires a minimum of a bachelor's degree.


Licenses:
N/A


Experience: 1-4 years of related experience, preferably in a university setting. Knowledge of and practical work experience with central university processes and systems would be an asset as would a familiarity with word processing, spreadsheet and database software, JIRA and UniFi.
