Role impact:


To provide administrative support to management team in areas such as, but not limited to, typing correspondence, preparing and distributing documentation and reports, calendar management, meeting coordination, making travel arrangements and prioritizing workload and completing on an accurate and timely basis in order to ensure management have the relevant materials required to operate their specific areas of the business.


What you will deliver:


  • Coordinate, organize and maintain calendar and schedule of events for management team by scheduling meetings/appointments and prioritizing responsibilities to ensure operational efficiency within the department
  • Coordinates all meetings which may include booking meeting rooms, preparing all meeting materials, catering, etc.
  • Coordinates all departmental travel arrangements on a timely and accurate basis which includes seeking relevant approval, scheduling flights and accommodations, while maintaining within corporate travel guidelines
  • Process and distribute all departmental correspondence such as mail/courier and coordinating outgoing mail/courier with Facility Services
  • Organizes and maintains departmental filing system by ensuring all materials are securely filed on a timely and accurate basis so that documents are readily available and easily retrieved when necessary
  • Tracks and monitors submissions from external consultants and vendors for management with follow up as required
  • Monitors and maintains departmental office supplies to ensure that department/team have the tools and equipment to perform their duties
  • Provides and maintains courteous, professional and efficient service to internal and external clients by responding to requests for information and redirecting inquiries beyond own scope of expertise to maintain excellent levels of customer service

What you need to succeed:


  • Grade 12 or equivalent
  • Minimum 3 years related work experience with at least 12 months working in an administrative role for more than one manager; exposure to the Real Estate/Project Management field an asset
  • Thorough knowledge of administrative practices, office policies and procedure, and correspondence and report writing
  • Knowledge and experience in the use of Yardi and VendorCafe is considered a strong asset
  • Proficiency in the use of Adobe Acrobat, Blue Beam and DocuSign
