We are currently looking for a full time
Office Manager to join our team at
A. Wesley Paving Ltd. (Subsidiary of The Forest Group)

As an Office Manager, you will work closely with our leadership team to ensure the efficient and organized functioning of our office


Your responsibilities will include:

Accounts Payable (A/P):


  • Managing vendor relationships and timely payment processing.
  • Accurate coding and keying of accounts payable.
  • Collaborating with project management to handle nonconstruction invoices.
  • Investigating and resolving discrepancies in invoice totals.
  • Issuing cheques and expense reports.

Accounts Receivable (A/R):


  • Maintaining current A/R accounts and resolving outstanding balances.
  • Processing payments received.
  • Handling customer invoicing for services.
  • Issuing Statutory Declarations and Warranty Letters as needed.

Job Costing:


  • Reviewing daily site reports and coding them by job numbers.
  • Reconciling and entering site reports in Quickbooks.
  • Creating and updating job costing spreadsheets.

Banking:


  • Monthly bank and visa reconciliation and analysis.
  • Weekly cash reconciliation and deposit processing.
  • Managing physical bank deposits and petty cash reconciliation.

Bookkeeping:


  • Preparing monthly financial reports and correspondence.
  • Identifying expenses for reporting to the leadership team.
  • Organizing and sorting documents (physical and electronic).
  • Assisting with various accounting and journal entries.
  • Collecting and analyzing financial information for monthly and yearend statements.

Payroll:


  • Handling weekly payroll changes and corrections.
  • Preparing payroll, government returns, and remittances.
  • Running T4 summaries and yearend T4s.
  • Reconciling commission reports and issuing commission checks.
  • Managing onboarding processes and updating payroll profiles.

Health and Safety & Human Resources:

  • Managing human resources tasks, including T4s and ROEs.
  • Maintaining safety records and compliance.
  • Supporting project managers and site foremen.
  • Resolving issues and maintaining a positive working environment.

Office Organization and Administration:


  • Conducting new employee orientations.
  • Managing office supplies and filing systems.
  • Ensuring all contracts and files are wellmaintained.
  • Documenting procedures, processes, and policies.
  • Assisting with special projects and other duties as required.

Qualifications:


  • Previous experience in office management and administration.
  • Strong bookkeeping skills, familiarity with Quickbooks.
  • Excellent organizational and timemanagement skills.
  • Proficiency in Microsoft Office Suite.
  • Knowledge of health and safety regulations is a plus.
  • Strong communication and interpersonal skills.
