Position Overview
We are currently seeking a full-time, permanent Coordinator, Accounts Payable to join our team. In this role, you will process the company's accounts payable transactions. Properly match invoices with receiving documents and purchase orders and assign coding to all expense reports and invoices. You will be a point of contact for all vendor communications and collaborate extensively with the team. You will reconcile Accounts Payable Sub-ledger to the General Ledger and prepare monthly analysis on key AP metrics. Attention to vendor management, process management and problem resolution are required as part of the role.

You will have 2-5 years' experience in payable and receivables and the ability to prioritize tasks effectively in a fast-paced deadline driven work environment.

The Coordinator, Accounts Payable reports directly to the Manager, Finance.


Key Responsibilities

  • Perform daily and periodic accounts payable activities in a multicurrency environment.
  • Ensure expense reports and credit cards are adequately supported with receipts and detailed explanation for travel and business expense and in compliance with the organizations financial policies and internal controls.
  • Ensure compliance to rules and regulations of GST/HST and PST.
  • Prepare weekly payment forecasts in order to manage the entity's cash flow effectively.
  • Prepare, review, and post monthly accounts payable accruals and perform the reconciliation of the Accrued Accounts Payable Report of goods received but not yet invoiced on a regular basis.
  • Perform the accounts payable month end close process as per defined timeline and complete monthly general ledger account reconciliations.
  • Prepare and distribute periodic financial and nonfinancial reports to defined timelines.
  • Demonstrate proactive and cognizant approach to continuous improvement opportunities.
  • Prepare biweekly vendor payment runs for invoices that are due for payment in compliance with working capital initiatives.
  • Match all supporting documentation and get preliminary approval from the Finance Manager.
  • File all paid invoices in a timely and orderly fashion.
  • Carry out special projects, as may be assigned.
  • Ensure personal and team activities are aligned with business and strategic goals of Spark as a whole.

  • Other duties as required and assigned.

Qualifications & Knowledge

  • A minimum of 25 years experience or expertise in vendor management and process efficiencies.
  • A solid understanding of MS Office and interest in using technology for efficiencies.
  • Fluency in Microsoft Dynamics GP or similar software and able to use most financial platforms.
  • Strong attention to detail and accurate data entry skills.
  • Strong ethics and ability to manage confidential data if required.
  • A proven track record of adding value to an organization's culture and initiatives.
