OVERVIEW:


Under the direction of the Team Manager of Corporate Imaging and Record Centre, this position is responsible for maintaining the records management system and ensuring the standards of internal and external distribution of mail.


WHAT YOU WILL DO:

RECORDS and INVENTORY DUTIES

  • Gathers, develops, examines, and analyzes each box received against the Record Transfer Form and maintains the information on the required forms and systems on all semiactive and permanent records in the Record Centre.
  • Manage all semiactive, inactive and permanent records and record movement associated with the onsite and offsite storage locations.
  • In keeping with the Corporate Records Authority, the Records Inventory Processor disposes of records according to the Corporate Retention schedule. Consults with user areas to verify retention periods with records, which are not in keeping with the Corporate Records Authority.
  • Investigate and correct discrepancies in the quantities and locations of all inventories reported.
  • Works closely with the Team Manager of Corporate Imaging and Record Centre maintaining records distribution activities and retrievals.
  • Communicates or corresponds, on a regular basis, with user areas.
  • Verifies the accuracy and completeness of all Record Transfer forms and invoices from service providers.
  • Assists with retrieval of information.
  • Complete other duties as required.
Mailroom duties

  • Assists with the opening and sorting of all Alberta Blue Cross incoming mail.
  • Prepares, verifies, and itemizes calculation tape of payments received by mail. Ensures payments are processed and received in the Accounting department according to scheduled timeframes.
  • Assists with the collating and inserting of various mail releases.
  • Works with various mailing equipment (i.e. letter opener, postage meter, electronic scale, inserting machine, folder etc.).
  • Assists in the handling of all outgoing mail and ensures proper postage and mailing procedures are applied.
  • Completes other duties as required.

WHAT YOU WILL HAVE:


  • Ability to work using various equipment including copiers, scanners and light mailing equipment.
  • Must be organized and efficient.
  • Requires knowledge of records management best practices.
  • Has some knowledge of Canada Post and Courier procedures.
  • Has good knowledge of Microsoft Office including Excel, Word, Access
  • Works cooperatively within a team environment.
  • Communicates well with external service representatives, customer service representatives and internal customers.
  • Demonstrates strong skills in verbal communication.
  • Works with mínimal supervision.
  • Can work flexibly within a constantly changing schedule.
  • This position requires continuous walking, lifting, bending, and moving heavy boxes daily.
