The Office of International Student Services


International Student Services (ISS) supports the growth, progress, and success of all international students (including visiting and exchange students) at McGill and aims to ease their transition to a new university, a new home and a new country.

They provide a range of services and resources for international students including orientation webinars, immigration advising, health insurance guidance, and social and cultural programming and events.


Position Summary:
Under supervision and guidance of the Manager of Student Development & Communications, the incumbent is responsible for the daytoday management of the
_International Buddy Program_, including responding to inquiries from participants, recruiting volunteers, and improving the matching software. The incumbent will also draft ISS communications materials; update the ISS website as requested; communicate with current & incoming students according to the Communications Plan; and assist with event planning & logistics and frontline duties as needed.


Major Duties and Responsibilities:
Responsible for the daytoday operations of the International Buddy Program. In consultation with the Manager, Run recruitment campaign to attract new volunteers to the program Host webinar training sessions for new Buddy Program volunteers Match volunteers with new students and promptly resolves any match conflicts Send updates and reminders to volunteers re: milestones Assist in the creation and dissemination of Buddy program communications materials:
  • Assist in the design and printing of posters, flyers, and promotional materials related to the Buddy Program
Review ISS website for accuracy and proposes improvements/updates, especially all pages & content related to the Buddy Program Monitor the Buddy Program Facebook group weekly Ensure that Buddy volunteers' work is reflected in their cocurricular record.
Assist in the creation and dissemination of ISS communications materials:

  • Communication with newlyadmitted students:
Update Pre-Arrival Orientation webinar pages, presentations, and link documents Event registration: Create registration forms on the ISS website, Link to other pages as appropriate, Download registration lists and updates attendance statistics spreadsheet, Close registration at appropriate dates, undo links & deactivate forms Assist in the design and printing of posters, flyers, and promotional materials Review ISS website for accuracy; propose improvements and makes updates Monitor and update ISS social media as requested by the manager
Orientation:

  • Work with Manager to plan events, including
  • ISS Meet & Greet and Resource lounge
  • ISS Info sessions and ISS Social events
  • Fall Welcome reception / Winter Brunch
  • Bitesize MTL
  • Assist with frontline duties as needed.

Other Qualifying Skills and Abilities:
Experience working with international students as well as student volunteers.
Heightened awareness of international students' needs and issues, and solid understanding of intercultural communications.
Experience living/studying abroad for an extended period of time.
Indepth knowledge of McGill services and resources.
Ability to exercise tact and diplomacy, and respect the privacy and confidentiality of student communications and interactions.
Ability to manage print and web communications, including social media platforms Instagram & Facebook.
Must possess exceptional organizational skills and show attention to detail.
Must be comfortable multitasking and managing multiple deadlines.
Proven ability to work autonomously and as a member of a team.
Ability to take initiative and problemsolve.
Excellent spoken and written English.
Spoken French and other spoken languages considered an asset. McGill University is an Englishlanguage university where daytoday duties may require English communication both verbally and in writing.
Experience with web design skills an asset (e.g. WMS, Drupal, HTML).

Hours: 20 hours per week between May 1st, 2023 and August 31st, 2023; up to 15 hours per week between September 1st, 2023 and April 30th, 2024.

Minimum Education and Experience:

High School Diploma 2 Years Related Experience
